Business Operations Coordinator – Oxfordshire | £35,000–£42,000
Location: Head Office, Didcot, Oxfordshire (OX11 7WB)

About the Role
Love bringing order to busy operations? At Leaflike Group, we design, create, and maintain exceptional planting schemes for luxury hotels, premium commercial spaces, and iconic buildings across the UK.
We’re now looking for a highly organised Business Operations Coordinator to act as the operational hub of our business. This isn’t a traditional admin job—you’ll coordinate customer communications, supporting our operations teams, managing systems, scheduling, and ensuring our leadership can focus on growth without operational distractions.

Key Responsibilities
Customer & Operational Coordination
- Answer main office phone lines and manage incoming customer enquiries professionally.
- Manage the shared customer inbox, responding promptly and proactively.
- Build and coordinate weekly maintenance schedules for field teams.
- Support project scheduling, resource planning, and labour coordination.
Systems & Documentation
- Maintain accurate records in Simpro (CRM), business systems, and Microsoft Office.
- Prepare job packs, purchase orders, and operational documentation.
- Generate reports, dashboards, and KPIs for leadership.
Cross-Department Support
- Coordinate customer communication, providing regular project updates.
- Organise meetings, record actions, and ensure follow-through on tasks.
- Support procurement, stock coordination, and supplier administration.
- Identify opportunities to improve systems and efficiency.
- Provide operational support across Projects, Maintenance, Sales, and Procurement as needed.
Requirements
Essential
- Previous experience in operations, coordination, customer service, or business support.
- Exceptional organisational skills with a propensity for planning and coordination.
- Outstanding customer service and communication skills (written and verbal).
- High accuracy and attention to detail.
- Fluent in Microsoft Office (Word, Excel, Outlook)—quick learner for new software.

Desirable
- Experience with Simpro or job management software.
- Background in construction, facilities management, landscaping, or field services.
- CRM or scheduling/resource planning experience.
- Understanding of operational or service delivery processes.
