Business Operations Officer – School of Psychology

Location: University campus (hybrid and flexible working arrangements considered)

We are seeking a dedicated Business Operations Officer to reinforce the School of Psychology’s team, delivering admin and operational excellence across multiple streams.
About the Role
This is a pivotal administrative position within the School of Psychology, ensuring smooth execution of business, operations, health & safety, and HR processes. You will act as a multi-skilled operationalPoint, providing strategic support, maintaining documentation, and driving continuous improvement.
Key Responsibilities
Support the Business Operations team by:
- Inbox & system coordination – Managing communications, tracking inputs and outputs.
- Procurement & receipting – Assisting with goods ordering, tracking, and inventory.
- Data & system maintenance – Updating Teams, SharePoint, databases and trackers.
- Health & Safety coordination – Supporting H&S activities and inductions.
- Primary point of contact – Fielding staff queries and resolving issues.

You’ll also take end-to-end ownership of key processes, including:
- Prolific, Giftpay, and PhD Researcher (PGR) administration – Focusing on user support, compliance & process refinement.
- Visiting Titles – Maintaining accurate records and supporting academic continuity.
- Training & cross-cover – Stepping in to bolster team resilience.
Additional tasks include:
- Mettings support and minute-taking – Preparing docs, distributing minutes.
- HR assisting –
- Visa compliance & scholar support for International students.
- Timekeeping administrative (timesheets, payroll queries).
- Estates & Facilities – Supporting access coordination, reporting, and space requests.
- Demographic considerations: Note: This post is not dependent on start date; suitable for all visa categories.
Requirements
Critical success factors:
- Proven experience in university or third-sector administration, preferably in academic environments.
- Strong organisation, time management & process efficiency skills.
- Ability to prioritise and multitask across a mixed workload.
- CRUCIAL: Familiarity with university policies, data management and Microsoft Teams/SharePoint.
- Health & Safety awareness – Experience in practical compliance advantageous.
- Excellent communication skills for staff interactions and reporting.
- Self-motivated, capable of self-initiated learning in rapidly evolving systems.
