EQUANS are recruiting for a Business Operations Officer to be based in Ellesmere Port. This is a part-time permanent role, working 22 hours per week (Monday – Friday). On offer is a salary of £15,386 and benefits package.
General Overview
The post holder is accountable for delivery and administration of administrative tasks covering a wide range of duties to support the client and internal stakeholders with various levels of assistance across the contract.
The post holder will be required to deal with various challenges, including but not limited to postal scanning and forwarding, managing several databases, issuing ID badges, access Fobs, and print cards, managing and issuing site keys and bookings for use of community services, reception cover on occasion and minute taking in council meetings. The post holder will be required to deal with any issues that arise within their capabilities and be astute to the appropriate point to escalate these. Typically, the post holder will be required to work closely with the Workplace Solutions Skill Set Supervisors and Soft FM Manager.
The post holder will be required to understand the contract KPI’s and associated contract specifications to ensure delivery to customer expectations.
Key Accountabilities
The role consists of, but is not limited to, the following key activities:
- First point of contact for client contacts requiring assistance with a range of administrative tasks.
- Responsible for the day to day issuing and monitoring of responsive works orders in line with contract requirements.
- Responsible for assisting the team with postal duties and managing databases covering a wide range of tasks.
- Assist with capturing data for end of month reports, including overtime tracking and site audit information.
- Monitor joint inbox and respond to clients and internal stakeholder’s requests for information and answering questions pertaining to Business Operations, escalating to management where required.
- Manage office requirements alongside team members to ensure office is compliant and stocked with stationery and ancillaries to ensure 100% office capabilities.
- Financial support by ensuring any PO numbers are captured and issued to vendors as required and keeping track of cleaning orders.
- Support the Supervisors and Soft FM Manager with any other tasks that may be required at short notice.
- Provide cover to reception where needed at Client building in Ellesmere port (2 min walk from office) and Chester Client HQ (parking permit will be issued).
- Minute taking at council meetings.
- Provide timely support to maintain the highest standard of statutory compliance. Ensure compliance with all legislative requirements in accordance with the Equans Environmental Health & Safety policy, quality, sustainability and energy efficiency related standards.

Who are we looking for?
- Good level of interpersonal skills.
- Good verbal and written communication skills.
- Proficient in using Microsoft Outlook, Word and Excel.
- Experience of supporting operational teams.
- Experience of planning, organising and prioritising workload, whilst maintaining high levels of accuracy.
- Ability to develop effective relations with key stakeholders including senior management, customers, staff teams and clients.
- Build strong professional relationships with other groups within Business Operations and the wider Equans account to ensure a common approach is adopted in support of operational delivery and work in collaboration with Equans nominated management.
