Business Operations & Special Projects Coordinator
Part-Time | Remote | Flexible Hours
About the role
We are looking for a highly resourceful and organised person to support a group of healthcare, pharmaceutical, and medical-device companies across a wide variety of business and operational projects.
This is a varied, hands-on role. Projects will change regularly and you are not expected to arrive with expertise in every subject.
You will work closely with the founders and other members of the team. The role requires someone who can operate independently while communicating clearly, asking sensible questions and keeping stakeholders updated.
What you will do
Your responsibilities may include:
- Researching new business and operational topics
- Finding and evaluating suppliers, laboratories, consultants and service providers
- Requesting and comparing quotations
- Coordinating work with external providers
- Supporting business setup and ongoing operational requirements in different countries
- Managing timelines, open actions and follow-up
- Preparing clear comparisons, summaries and recommendations
- Supporting conferences, exhibitions and business events
- Assisting with procurement, product-related projects and general business operations
- Taking ownership of varied special projects from initial brief through to completion

How you will work
A typical assignment may begin with a broad objective rather than a detailed set of instructions.
You will be expected to:
- Clarify the objective and relevant constraints
- Break the project into practical steps
- Use AI and other research tools to develop an informed starting point
- Verify important information through reliable sources or relevant experts
- Identify and contact suitable providers
- Compare cost, quality, experience, timing and fit
- Present a clear recommendation
- Follow through until the work is completed

Working arrangement
- Remote and flexible
- Approximately half-time, with hours varying according to project needs
- Paid on an hourly basis
- Some periods may be busier, particularly around conferences, launches or major projects
Requirements
- Based in the UK with the right to work in the UK
- Strong professional English
- Strong research, communication and organisational abilities
- Practical experience with AI tools
- Experience in operations, project coordination, procurement, supplier management, research, administration or a startup environment is helpful.
