Business Services Assistant

Business Services Administrator (Administrative Role)

We’re looking for someone eager to progress their career and take on a new challenge within our evolving One Council Business Services function. This role offers variety, responsibility, and the opportunity to contribute to a service undergoing transformation and innovation.

About the Role

You’ll play a key role in delivering efficient, high-quality administrative support across a range of business services activities.

Core responsibilities include:

  • Providing support to operational managers, stakeholders, and clients
  • Leading service developments and change initiatives while organising and managing tasks effectively
  • Administering client information systems, ensuring data accuracy and maintaining confidentiality
  • Building strong partnerships with both internal and external stakeholders

Key Tasks

The role involves a range of critical activities to keep Business Services running smoothly:

  • Organising, coordinating, planning, and prioritising processes, activities, and projects
  • Managing shared email inboxes across multiple workstreams:
    • Safe Places
    • 50+ Forums
    • Volunteer Passport/Volunteer Gateway
    • Social Connection
    • First Contact
    • Health and Wellbeing Team
  • Inputting, managing, analysing, and presenting data to drive operational decision-making and KPI reporting
  • Developing high-quality documentation and publications, providing advice and guidance
  • Enabling effective meeting administration (committees, AGMs, forums, subgroups) by preparing and distributing materials on time
  • Identifying efficiency improvements and enhancing service quality through procedural and process refinements

Responsibilities

  • Proactive and forward-thinking approach required
  • Confidence with IT systems
  • Financially aware, ensuring accurate records and quality minutes are produced
  • Currently supporting the Community Support and Resilience Team within Public Health alongside broader functions such as health and safety, information systems, and administrative support

Requirements

  • Hold a Vocational/NVQ Level 3 qualification in Administration (or equivalent)
  • Must possess significant experience in a similar administrative or business support role
