Role Description
The Business Support Administrator provides essential support to senior leadership, finance, planning, coordination, and delivery teams within Asset Performance. The role is responsible for ensuring that asset performance projects and programmes are effectively planned, scheduled, monitored, and delivered in alignment with business priorities. Through effective coordination and administrative support, the role contributes to enhancing asset performance, maintaining compliance, and improving overall operational efficiency.
A key responsibility of this role is to act as the central point of contact for asset surveyors, facilitating clear communication, resolving issues, and coordinating logistical arrangements, including travel and scheduling requirements. The role ensures seamless collaboration between teams, enabling the effective delivery of asset performance activities and supporting continuous improvement across the business.

Your Broad Responsibilities

Programme Administration
- Provide administrative support to the Asset Performance team to ensure the efficient delivery of programmes.
- Maintain programme records, documentation, trackers, and databases.
- Update schedules and operational information to ensure records remain accurate and up to date.
- Assist with general administrative duties to support programme delivery.

Planning & Scheduling Support
- Assist with the preparation and distribution of daily, weekly, and monthly work schedules.
- Update programme schedules and planning information within company systems.
- Support the coordination of surveyor diaries, appointments, and operational activities.

Surveyor & Customer Support
- Handle incoming telephone calls and email enquiries, responding to routine queries or directing them to the appropriate person.
- Provide a professional and friendly first point of contact for customers, surveyors, and internal stakeholders.
- Maintain regular communication with surveyors to provide updates and support day-to-day operational requirements.
- Report scheduling issues or operational changes to the relevant manager.

Travel & Logistics
- Arrange travel and accommodation bookings for surveyors, including hotels, hire vehicles, flights, and rail travel.
- Maintain travel itineraries and booking records.
- Assist with rearranging bookings where operational changes occur.

Systems & Administration
- Create Asset surveys via Simpro.
- Monitor identification tag stock levels and arrange replenishment when required.
- Raise Purchase Orders (POs) for materials, subcontractors, and services.
- Create customer quotations within Simpro.
- Create and maintain employee, client, and Job records within the company timesheet portal.
- Ensure administrative records are accurate, complete, and up to date.
- Provide general administrative support to the Asset Performance team.

- Maintain confidentiality and ensure company records are managed appropriately.
Skills & Experience
Essential
- Previous experience in an administrative, coordination, or scheduling role within a fast-paced environment.
- Excellent organisational skills with the ability to manage multiple tasks, priorities, and deadlines.
- Strong attention to detail with the ability to maintain accurate records and data.
- Experience supporting operational or project teams with administrative tasks.
- Experience preparing documentation, maintaining databases, and updating business records.
- Experience coordinating schedules, appointments, or resource planning.
- Excellent customer service and communication skills, with confidence handling telephone calls and email enquiries.
- Ability to build positive working relationships with customers, field-based employees, and internal stakeholders.
- Proficient in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Willingness and ability to learn new business systems and processes, with full training provided.
Desirable
- Experience monitoring stock levels and arranging the ordering of office or operational supplies.
- Experience working in an operational, engineering, facilities management, or service delivery environment.
- Understanding of general purchasing, scheduling, and administrative processes.
Working Conditions
- Office-based with regular interaction with operational teams.
- Occasional site visits may be required.
- Flexibility to support operational priorities when required.
