Business Support Administrator
Administrative Support Officer (GMS Contract Team) – NHSGGC Primary Care Support Services

About the Role
An exciting opportunity has opened within our Primary Care Support Services to contribute to a transformational change programme. This role evolves to adapt to new needs and will be influenced by the Renfrewshire HSCP Sustainable Futures review. You’ll need to be flexible, responsive, and collaborative across primary care, health, and social care services.
The post holder will provide key administrative support to the GMS Contract Team, led by the General Practice Support & Development Manager. Core responsibilities include handling daily operational tasks while ensuring smooth business delivery for the General Medical Services (GMS) Contract across NHSGGC.
Duration, Location & Working Pattern
- Fixed-term contract: 18 months (full-time)
- Location: JB Russell House / Gartnavel Royal Hospital
- Working hours: Monday to Friday (standard office hours)
Key Responsibilities
- Provides high-level administrative and personal support to the GMS Contract Team, prioritising workload effectively
- Acts as the primary point of contact for the service, handling:
- Telephone and email enquiries from NHSGGC staff, members of the public, and external agencies
- Directing and prioritising correspondence where required
- Drafts complex external/internal responses by interpreting information under direction, with guidance on conclusive correspondence
- Proactively manages mail systems (paper and electronic):
- Logging, allocating, and progress-chasing correspondence under broad leadership
- Monitoring and responding to the GMS Contract Team’s generic mailbox in a timely and independent manner
- Assists with project coordination, providing high-level administrative support to ensure objectives are met
- Authorised PECOS signatory for:
- Processing orders and receiving purchase orders in the Management Information System (MIS)
- Verifying accuracy and completeness of received items (including external contract work and equipment) in accordance with Board Standing Financial Instructions

Knowledge, Training, Qualifications and Experience Required
Essential
- Administrative expertise: Broad knowledge of systems, procedures, and data handling, with an ability to prioritise and manage workloads effectively
- Healthcare environment experience: Previous work in primary or secondary care roles
- GP Contract & General Practice knowledge: Understanding of relevant processes and systems
- Work under pressure: Ability to handle ad-hoc requests and be responsiveness
- Strong interpersonal skills: Exceptional communication, negotiation, and support abilities
- Microsoft Office proficiency:
- Advanced skills in Word, Excel (including data analysis), PowerPoint, Outlook, and Microsoft Teams
