Business Administration Apprentice

Working across 2 sites - Unity Housing Association, 113-117 Chapeltown Road LS7 3HY and Unity Business Centre, 26 Roundhay Road LS7 1AB - as a Business Admin Apprentice, you will assist with a variety of administrative tasks, helping to keep our office organized and efficient. You’ll receive training and guidance to develop your skills and build a strong foundation for your career.
Your primary duties and responsibilities will include:
- Use of Microsoft Office packages, email, word, excel, etc.
- Answer phone calls and handle communications promptly and professionally.
- Dealing with customers face to face.
- Diary management.
- Assist with managing office supplies and inventory.
- Attend meetings, take notes, and distribute.
- Carry out basic filing and organization of office documents.
- Data Entry.
- Deal with external agencies such as contractors, consultants, and suppliers.
- Liaise with housing tenants.
- Arrange and attend tenancy health check visits on behalf of the team.
- Support the employment services team with administration and promotion of the service.
- Provide support to the outreach program which may include assisting advisers in the delivery of training sessions and attending community events to support the service.
- Assist with monitoring team performance outcomes.
- Research new initiatives.
- Help to collate team statistics.
- Ensuring that the policies of the company are observed, and that good practices are encouraged, particularly in the areas of Health & Safety, Equal Opportunities, and confidentiality.
The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by the organization which is relevant to your post within the company, to meet the overall business objectives.

Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information, and produce data analysis where required.
Produces accurate records and documents including:
- Emails
- Letters
- Files
- Payments
- Reports and proposals
Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports, and able to review others' work. Maintains records and files, handles confidential information in compliance with the organization's procedures. Coaches others in the processes required to complete these tasks.
Exercises proactivity and good judgment. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
Builds and maintains positive relationships within their own team and across the organization. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
Demonstrates good communication skills, whether face-to-face, on the telephone, in writing, or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organization, representing the organization or department.
Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themselves to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organization e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organization). Manages resources e.g. equipment or facilities. Organizes meetings and events, takes minutes during meetings, and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
Uses relevant project management principles and tools to scope, plan, monitor, and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training schedule
As a Business Administrator Apprentice, you will complete the following qualifications as part of your Apprenticeship:
Level 3 Business Administrator Standard Apprenticeship
You will also develop the skills, knowledge, and behaviors required to work within an office environment.
This apprenticeship is delivered in the workplace, and 20% of your working time will be dedicated towards training and learning new skills.
You will be allocated a tutor who will provide you with personal support and assessment at pre-arranged times.
Assessment is through a variety of methods, including observations in the workplace, witness testimonies, product evidence, and professional discussions.
All evidence will be logged to your electronic portfolio.
Requirements
Essential qualifications
GCSE in:
- 5 GCSE's including maths and English (grade 5/C or above)
Desirable qualifications
A Level in:
- Any subject (grade C or above)
Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
