Description
Join our team as a Business Support Administrator! Reporting to the Office Manager, this role combines administrative, organisational, and relationship management responsibilities. Ideal for a detail-oriented individual who thrives in a dynamic environment, you’ll play a key role in ensuring the smooth running of the office and operations within a leading accountancy group.
Key Responsibilities
Office Management and Reception:
- Provide outstanding service as the first point of contact for clients, answering calls and greeting visitors with a professional and friendly demeanour.
- Maintain the cleanliness and organisation of the office and facilities, to uphold a professional and welcoming image.
- Conduct regular health and safety checks to maintain a safe working environment for staff and clients.
- Monitor and efficiently manage tasks in the team inbox, ensuring all actions are completed promptly.
- Provide administrative support for client-related tasks, contributing to the smooth operation of the business.

Business Support:
- Manage phone calls, ensuring professional and timely responses.
- Chase clients for required books and records to meet deadlines.
- Ensure scanning, filing, and organisation of documents on CCH.
- Support the onboarding process for new clients, maintaining compliance and practice assurance within Xeinadin guidelines.
- Finalise and distribute accounts and personal tax packs to clients for approval.
- Assist the Hub Credit Controller in resolving debtor queries.
- Process invoices, write-offs, and WIP adjustments.
- Apply for HMRC and Companies House authentication codes.
- Allocate disbursements to clients and manage payments over the phone.
- Process and reconcile office petty cash and handle cheque payments.
- Schedule client appointments and coordinate the safe return of books and records.
- Maintain an inventory of IT equipment, including laptops, issued to team members.
- Order office supplies and manage stationery stock.
- Ensure client data and the practice management system (CCH) is maintained.
Projects (as required):
- Be a contact for the office to support regional and enterprise level projects.
- Work with other offices to facilitate the standardisation of processes and procedures.

Key Requirements
- Proven experience in administration within a fast-paced, professional environment.
Additional Requirements
- Some knowledge of statutory accounts and accounting processes.
- High attention to detail and commitment to accuracy.
- Proficiency with Microsoft Excel, Word, and Outlook.
- Ability to pick up new IT systems.
- Excellent time management skills, capable of handling multiple deadlines concurrently.
- Ability to meet strict administrative deadlines consistently.
- Strong communication skills, both verbal and written, with confidence to liaise at all levels.
