Business Support Co-ordinator

Location: Cirencester, Gloucestershire Salary: £30,000 per year (Full time)

About the Role

The Business Support Co-ordinator is a multi-faceted role, evolving daily but centred around two key pillars:

  1. Comprehensive support across finance activities (ensuring smooth running of financial processes).
  2. Daily HR administration (handling essential people-related tasks).

The role supports Directors and Head of Finance by:

  • Maintaining accurate financial records.
  • Overseeing and performing credit control activities.
  • Processing purchase orders and reconciliations.
  • Assisting with month-end activities.

On the HR side, the role covers:

  • Employee records maintenance.
  • Onboarding/offboarding support.
  • Holiday and absence tracking.
  • Routine HR query resolution.

Together, these tasks support the leadership team practically, ensuring a busy office operates efficiently.


Key Responsibilities

Finance Support

  • Assist in credit control management, monitoring aged debt and following up with clients to ensure timely invoice payments.
  • Oversee quote issuing to streamline invoicing, ensuring effective book-keeping.
  • Xero expertise required: Regular and timely bank reconciliations to track transactions and support accurate VAT returns.
  • Support ISO compliance initiatives, maintaining and improving the company’s quality management systems, ensuring adherence to standards, and streamlining internal/external audit processes.

Internal Audit & Compliance

  • Work with Directors to plan, coordinate, and support audits, including:
    • Identifying and implementing corrective/preventative actions.
    • Tracking actions to completion.

Office & Administrative Duties

  • Oversee daily office management, including:

    • Building maintenance
    • Supplies
    • Cleaning contracts
    • Health and safety compliance
  • Support the outsourced HR partner in:

    • Administering full HR lifecycle (recruitment to offboarding).
    • Reference checks, right-to-work verification, and induction processes.
    • Updating and maintaining the HR management system.
  • Accurately track holiday and absence to ensure adequate workforce resourcing.
