Team Administrator – Specialist CAMHs (Care, Adoption & Permanence) Support Role
Location: Bournemouth, Christchurch and Poole Council (BCP Council) / Dorset Council Hourse: 22.5 hours per week (part-time, flexible arrangements can be discussed) Contract: Ongoing
About the Role
We are seeking a motivated and detail-orientated individual to join our friendly and enthusiastic administrative support team, providing essential backing to the Children In Care (CIC) Health Team. Supported by Bournemouth, Christchurch and Poole Council (BCP Council) and Dorset Council, this team delivers health support for children and young people in care, ensuring their physical and emotional well-being while promoting healthy lifestyle choices.
The Team Administrator will be the linchpin of the CAMHs system, undertaking a broad spectrum of administrative, clerical, and collaborative duties to ensure the successful functioning of the service.
Key Responsibilities

Administrative & Clerical Support:
- Act as a pillar to a team by delivering flexible, reliable administrative support to Specialist CAMHs structural functions.
- Manage referral processes to Electronic Intow System (EIS) and similar platforms.
- Schedule, coordinate, and track appointments (including home visits), ensuring efficient allocation of resources.

Meeting & Minutes Management:
- Attend team meetings, professional forums, and multisciplinary gatherings (both internal and external).
- Draft condensed yet comprehensive meeting minutes, ensuring accuracy and timely distribution.
- Type, review, and issue clinical letters for patient cases and professional communication.

Data & Record Keeping:
- Maintain referral information, waiting time logs, group therapy registers, and other database inputs (e.g., spreadsheets, digital platforms).
- Organise and analyse care plans, health data, and process analytics.

System & Workflow Enhancement:
- Proactively tackle routine and non-routine workloads with prioritisation and organisation.
- Suggest and implement improvements to office procedures, spreadsheet templates, and data processing workflows.

Communication & Public Facing Support:
- Coordinate distribution of mail (electronic and physical).
- Aid in producing, editing, and distributing handouts, flyers, booklets, flowcharts, and data visualisations to present complex health information effectively.

Documentation & Compliance:
- Ensure adherence to departmental policies, legal/healthcare regulations, and information governance standards.
Person Specification & Key Requirements
Essential Possessions & Attributes
- Honest attention to detail – Critical in managing patient data, referrals, and confidentiality.
- Excellent organisational skills – Proficient in prioritising workloads and managing multi-layered deadlines.
- Excellent verbal and written communication – Clear and empathetic correspondence equally important in paperless and digital environments.
- Self-motivated – Effective workspace organisation, proactive problem-solving, and ability to work independently or as part of a team.
- Service-oriented mindset – Guided by compassionate healthcare values and an understanding of multidisciplinary care.
- Strong IT skills (Microsoft Office Suite, database management, spreadsheets, and entry-level secure systems).
- Valid and unrestricted right to work in the UK (no sponsorship available).

Desirable Skills
- Prior experience in Admin/Clerical/Clerical Coordinator roles within NHS, Council, or care-related settings.
- Knowledge or experience of ** Reykott Medicine, referrals under social work frameworks,** or multi-agency hygiene systems.
