Business Support/Personal Assistant – BAM UK & Ireland

BAM UK & Ireland are seeking a highly organised and proactive Business Support/Personal Assistant to join our collaborative team. With a growing portfolio of projects and continuous business expansion, this is an exciting opportunity to contribute to a dynamic organisation in a central role.
Based at our head office in Kilsyth or Inverness, you'll work closely with senior leaders and project teams, delivering crucial administrative, organisational, and coordination support across diverse business activities. Within a fast-paced environment, you'll help maintain smooth daily operations while supporting high-profile projects.

Key Tasks & Responsibilities
- Proactively manage a complex, high-volume diary, leveraging forward-thinking strategies to maximise and prioritise the time of Sector Pre-Construction Leads.
- Act as the primary point of contact for the Sector Pre-Construction Lead’s inbox, ensuring efficient processing of emails, tracking pending issues, and facilitating timely responses.
- Build and sustain positive working relationships with internal teams (e.g., Pre-Construction, Commercial, Project Delivery, Corporate) and external stakeholders.
- Prepare meeting materials, including agendas, minutes, and presentations.
- Track and manage dashboards, monthly reports, and data analytics.
- Support both internal and external meetings by taking minutes, recording proceedings, and following up on action items.
- Plan and organise travel, optimising schedules for maximum efficiency.
- Take ownership of event planning, including away days, workshops, and conferences—both internally and with external business partners.
- Maintain strict confidentiality and discretion in all professional communications.
- Collaborate with other Business Support teams across platforms and regions.
- Perform additional Business Support duties or projects as necessary.

Essential Skills & Requirements
- Previous Business Support experience at a similar level
- Exceptional multi-tasking and prioritisation skills to meet strict deadlines
- A confident, professional demeanour with strong communication abilities
- Exceptional organisational skills and meticulous attention to detail
- In-depth expertise in Microsoft Office Suite
- Ability to adapt swiftly, utilise initiative, and work independently with confidence
