About Group Retreats

Group Retreats is a growing hospitality business specialising in exclusive hire holiday properties across the UK. We care about the detail, in the properties we run and in how we run them behind the scenes. As we grow, the systems and administration that hold everything together matter more than ever, and that is where this role comes in.

The Role

This is a genuine hybrid, roughly half administration and half technical. Based in our Support Office in Ipswich and reporting to the Office Supervisor, you will keep our day-to-day operations running smoothly while helping us get more from the systems we rely on. One day you might be tidying data and supporting the booking team, the next you might be helping roll out a system change across multiple sites. It will suit someone organised and capable who enjoys variety and is as comfortable in a spreadsheet as they are supporting colleagues with a new tool.

What You Will Do

  • Provide day-to-day administrative support across the Support Office.
  • Act as a first point of contact for our core business systems, supporting users across multiple properties.
  • Maintain accurate data across our platforms, with strong attention to detail and data hygiene.
  • Support system changes, onboarding and process improvements, working alongside our contracted IT support, development and implementation partners.
  • Build and maintain reports and spreadsheets to support the wider team.
  • Help document processes and produce clear guidance for colleagues.
  • Travel occasionally to our sites where needed.

Essential

  • Experience with a Property Management System (PMS).
  • Experience with a CRM.
  • High proficiency across Microsoft Office, particularly Excel.
  • Experience supporting more than one site or location.
  • A full UK driving licence.
  • Awareness of data protection and GDPR, with the discretion to handle sensitive information.
  • Strong written communication, comfortable documenting processes clearly.

Desirable

  • Familiarity with systems such as HubSpot, Hostaway, Lighthouse, Guestline, Mews, Little Hotelier or BrightHR.
  • Hospitality experience.
  • Software implementation experience.
  • An understanding of the software development lifecycle (SDLC).
  • HR administration and data experience.
  • Familiarity with the Microsoft Power Platform (Power Automate, Power BI, SharePoint).
  • Experience supporting user training and system adoption.

About You

Organised, detail-oriented and adaptable, you enjoy moving between hands-on admin and more technical problem-solving. You work well within a small, close team and can be trusted with confidential information.

The Details

  • Six-month fixed-term contract, with potential to extend.
  • Three days per week, days to be agreed.
  • Office-based in Ipswich, with some travel to our properties.
  • From £25,000 per annum (full-time equivalent), pro-rata, depending on experience, plus eligibility for our company bonus scheme.
  • Immediate start available, ideally from August.
