WHERE YOU COME IN:
The Business Systems Coordinator is responsible for supporting and improving the systems that underpin day-to-day business operations. Working closely with teams across the organisation, the role focuses on maintaining core business platforms, supporting users, and identifying opportunities to improve processes through technology. The role covers both project work and continuous deployment / support, including traditional BA elements such as requirement discovery from senior stakeholders and providing developer technical specs. Systems testing often plays a part in the delivery of new features. The role also manages multiple CRMs in the business. As such, core data analysis skills and familiarity with analysis tools are critical.
KEY AREAS OF FOCUS:
- Deliver digital transformation improvements to business processes via automation, new technical features or integrations
- Lead technical projects from the roadmap and discovery stage through to post-deployment support and training. Managing external developer resource to deliver projects.
- Own and understand in-depth the sales CRM (Hubspot) and invoice/existing customer CRM (Nexudus) and reporting CRM (Power BI). Supporting the wider team with training required and troubleshooting any issues with all platforms.
- Own and manage the development team’s working process, providing supporting resources in project and continuous deployment contexts
- Thoroughly document process changes and systems training for both technical and non-technical stakeholders
- Communicate confidently with stakeholders at all levels to build strong relationships and support change

Systems Administration:
- Manage and maintain the sales (Hubspot), invoicing (Nexudus) and reporting (PowerBI) CRM’s,
- Manage user access, permissions and system configurations.
- Support users with system queries and troubleshooting.
- Maintain reporting dashboards using PowerBI
Process Improvement:
- Develop systems roadmap aligned to business objectives and improving existing business processes.
- Work with teams to understand existing processes.
- Document workflows and identify inefficiencies.
- Support the implementation of process improvements, integrations and automations.
Project Support:
- Manage external developer to deliver key projects.
- Assist with the delivery of system enhancements and integrations.
- Gather and document business requirements.
- Support testing and deployment of new features.

Training and Documentation:
- Create user guides and process documentation.
- Deliver system training to new and existing team members.
- Ensure documentation is maintained and up to date.
WHAT WE'RE LOOKING FOR:
- Advanced Excel skills, ideally including Power Query
- Familiarity with Power BI for data modelling and visualisation
- Understanding of REST and SOAP APIs, building and documenting integrations between platforms using APIs
- Familiarity with CRM data models and operations, ideally Hubspot and Nexudus specifically
- Comfortable with mapping business processes either through basic flow diagrams or formal BPMN
- Excellent business analysis skills including requirements gatherings and producing clear documentation
- Outstanding written communication, with the ability to translate technical requirements to non-technical stakeholders and vice versa
- Analytical and well-organised, with a keen eye for detail
The following would be nice to have, but not critical if you don't:
- Experience building Python scripts for data analysis and automation
- Experience managing supplier relationships and a departmental budget
- Experience with agentic AI, managing agents and implementing changes to AI products
- Interest in implementing AI for business processes, and using it in daily workflows to solve problems
- Interest in owning the AI mandate & strategy for the wider business
