Business Systems Manager
💸 Salary: £65,000 to £75,000 per annum (depending on experience). Up to 15% bonus.
📍 Location: Remote – must be based within the UK. Occasional visits to see the team.

Who are we looking for?
We are looking for someone who knows what it means to truly own a system — not just to use it, but to be accountable for its configuration, compliance posture, access controls and lifecycle. You've worked in compliance-requiring environments (pharma, life sciences, finance, or similarly governed industries) and understand what it's like working within governance frameworks such as 27001, SOC 2, SOX, GxP or PCI-DSS. You'll have been through an audit, and been able to demonstrate how your system meets governance, regulatory, or legal requirements.
You thrive on bringing pragmatic structure to complexity and how systems governance can drive business value, enabling rather than hindering. You're equally comfortable enforcing a control and designing the lightweight process that makes it workable in practice. You're the person others come to when they need to know how a system should work — and you can translate that into guardrails that let the business move quickly without creating shadow IT.
By providing ownership of systems from a business perspective, you will be the effective interface between the Tech Enablement Team and wider business stakeholders, ensuring that systems are on-boarded, used, and decommissioned according to our governance and regulatory requirements.
Key Responsibilities:
- Own and manage the organisation's core business systems (SharePoint, Miro, HubSpot, PandaDoc and others), including configuration, user life-cycle, integrations and compliance posture
- Define and enforce access control policies, role-based permissions and joiner/mover/leaver procedures across all platforms, including conducting periodic access reviews
- Develop and operationalise compliance-aligned processes including data retention, GDPR obligations and audit-readiness activities
- Build and maintain standard operating procedures for system lifecycle events (new system onboarding, configuration changes, project creation, team changes, leavers, etc.)
- Ensure systems governance and ownership processes across the organisation are forward-compatible with future ISO 27001 and SOC 2 compliance efforts
- Act as the single point of accountability for system governance, working with stakeholders across the business to keep controls practical and proportionate
- Maintain controlled documentation for system configuration, compliance procedures and information handling
- Lead the compliance and governance evaluation when new tools or systems are introduced, ensuring they meet organisational standards before adoption
- Own vendor risk assessment for SaaS and third-party platforms, including due diligence on security posture, data handling and contractual compliance
- Set technical and governance guardrails for business-built tools, low-code applications and internal prototypes — giving teams safe paths to build and ship without creating shadow IT or orphaned systems
- Provide data-boundary clarity for Client on-boarding, Change Management, Disaster Recovery and Business Continuity workstreams

Skills / Approaches:
- Min 5 years' experience owning and administering business systems in a regulated environment (pharma, life sciences, financial services or similar), or working in a quality/compliance function supporting business systems
- Excellent attention to detail and document discipline, and maintenance of systems documentation
- Working knowledge of one or more compliance frameworks (ISO 27001, SOC 2, GxP, PCI-DSS) and practical understanding of GDPR
- Ability to translate compliance requirements into workable, auditable processes that scale with the business
- Familiarity with system validation, change control or quality management concepts (a strong plus)
- Strong stakeholder management and influence skills; comfortable holding vendors and senior internal stakeholders to account
- Self-directed and comfortable with ambiguity — able to define structure where none exists
- Pragmatic and detail-focused, with a bias for lightweight controls over theatre
