Business Unit Administrator – Oncology

Reports to: Admin Manager

Location: Pancras Square, London

Working Pattern: On-site (Monday–Friday)

Contract Type: Fixed Term Contract

Contract Duration: 12 months

We are now recruiting a Business Unit Administrator – Oncology to provide high-level administrative, operational, and project management support to the Oncology Franchise, senior leadership, and the wider team.

This role is central to the effective day-to-day functioning of the Oncology Business Unit and requires strong organizational capability, discretion, and confidence working with Director-level partners.

The Role

The Business Unit Administrator – Oncology provides comprehensive support to the Oncology Franchise Head/Business Unit Head and their wider teams, manages key franchise-aligned activities, and delivers project management support for Oncology-specific initiatives. This role sits within the Oncology Business Unit administration function and reports into the Senior PA/Admin Team leader.

Key Accountabilities

  • Individual Director Support to the Franchise/Department Heads

    • Provide proactive, high-level administrative support to the Oncology Franchise or Business Unit Heads
    • Manage complex and dynamic diaries to maximize efficiency and effective time management
    • Prioritize and coordinate competing commitments, providing advance visibility of key activities
    • Organize internal and external meetings, including room bookings, hospitality, and logistics
    • Research, arrange, and manage travel and accommodation, producing detailed itineraries and proactively adjusting plans as diaries change
    • Ensure all travel is approved in line with governance requirements
    • Prepare and submit expenses, ensuring compliance with UKMC Travel & Expenses policy and highlighting any non-compliance
    • Raise priorities or issues appropriately in the absence of the Franchise or Business Unit Head
  • Business Unit Support

    • Coordinate wider Franchise or Business Unit Leadership Team meetings, including:
      • Scheduling meetings
      • Agenda creation with the rotating chair
      • Liaising with presenters and collaborators
      • Attending meetings and tracking actions
    • Act as a key point of contact between the Franchise Head and Heads of Department
    • Serve as a subject matter expert and first-line support for systems such as:
      • Cybergrants
      • Concur
      • Veeva
    • Act as the single point of contact for new starters, supporting system access and onboarding training
    • Provide expert support for virtual meetings and maintain up-to-date knowledge of collaboration tools and processes
    • Create and maintain accurate BU distribution lists, organograms, and internal documentation
    • Coordinate Franchise Team Meetings including offsite meetings, arranging venues, facilities, and logistics
    • Any other admin-related tasks required by the wider teams.

  • Project Management Support

    • Support, lead, and deliver projects as required by the Franchise.
    • Project manage agreed initiatives from planning through to delivery
    • Track progress against plan and communicate updates to interested parties
    • Identify and implement opportunities to improve administrative systems and processes to enhance efficiency
  • Admin Team Contribution

    • Active member of the Oncology Business Unit admin team
    • Share standard process and suggest improvements to ways of working
    • Support or lead OBU-wide or enterprise projects and events as required

Experience, Skills & Qualifications:

  • Strong interpersonal, communication, and influencing skills
  • Project coordination and delivery capability
  • Flexible, positive, and proactive approach
  • Ability to multitask within a fast-paced environment.
  • Self-starter able to prioritize workload and work independently using sound judgement
  • Ability to perform effectively under pressure
  • High attention to detail and strong focus on quality
  • Absolute discretion and ability to manage confidential and sensitive information
  • Advanced verbal and written communication skills
  • Advanced Microsoft Office skills
  • Experience organizing complex meetings and managing senior-level diaries
  • Demonstrated ability to make informed decisions when required

Desirable Experience

  • Proven experience providing administrative support at Director level
  • Experience with governance processes and structured ways of working
  • Strong business awareness and understanding of organizational priorities
