Buyers Admin – Mens & Womens Bodywear (12-month FTC)

About the Role

As Buyers Admin, you will provide administrative support to the Buying teams, ensuring smooth operations across inventory, orders, and supplier interactions.

Responsibilities

  • Relationship Management:

    • Serve as the first point of contact between suppliers, warehouses, and Buyers for:
      • Booking deliveries
      • Adjusting delivery schedules and managing order amendments
      • Liaising with shoplor teams
  • System & Data Management:

    • Upload buyers' worksheets and create SKUs in Retek, flagging gaps for improvement
    • Load orders onto the system accurately and promptly upon receipt
    • Set up, monitor, and optimise delivery schedules, including checking deadlines and highlighting issues to the Buying team
  • Order & Supplier Coordination:

    • Verify vendor order confirmations and chase outstanding confirmation notes
    • Resolve delivery centre (DC) queries (e.g., mismatched delivery notes) to prevent stock stagnation
    • Update and maintain trade/settlement discount terms in databases
    • Establish new supplier accounts
    • Ensure pre-ticketing requests are forwarded to suppliers

  • Content & Inventory Accuracy:

    • Update SKU, category hierarchies, barcodes, and supporting information
    • Oversee sample provision for photostudio digital photo shoots
  • Sample & Training Liaison:

    • Organise shop floor customer sampling and retail training sessions with suppliers
    • Distribute daily reports to concessions and internal teams

  • Being proficient in Microsoft Office, especially Excel, with precision.
  • Being present on the shop floor, including for seasonal photo shoots and training walks, while acting as a trusted, respected colleague.
