Buyer’s Admin Assistant - Swimwear and Clothing Categories

1 year FTC

THE ROLE

This is an exciting opportunity to join Pour Moi as a Buyer’s Admin Assistant, we have opportunities on both our Swimwear department as well as our Multi-Category Clothing, Nightwear + Sports. This is a fast paced, role key to the development & growth of our product ranges.

Our predicted annual turnover is £32 million, making us one of the leading brands in lingerie and swimwear. With sales increasing year on year it means we need more brilliant people who share our passion, to join in the next part of our story.

THE ROLE

As a Buying Administration Assistant, you will play an integral role in supporting the Buying team throughout the product lifecycle, helping to ensure products are delivered, approved and delivered on time.

Your responsibilities will include:

  • Providing day-to-day administrative support to the Buying team, maintaining departmental documentation, systems and trackers.
  • Leading the department's critical path, coordinating with suppliers and internal teams to ensure key product milestones and delivery deadlines are achieved.
  • Managing the product approval process, communicating with suppliers and ensuring approvals are completed in line with critical path requirements.
  • Owning the sample management process, coordinating samples for fit sessions, approvals, meetings, wholesale appointments and photoshoots. As well as managing incoming and outgoing post. Ensuring range samples are in the right place at the right time in line with business meetings and deadlines.
  • Managing product creation and maintenance across internal systems, ensuring product information is accurate and ready for launch. Learning and championing internal systems within the business and ensuring data is updated and accurate.
  • Liaising with suppliers and internal departments including Technical, Merchandising, Sales, Marketing and E-commerce to support the smooth delivery of the product range.
  • Assisting with product photography, website checks and online product information to ensure products are presented accurately across all channels.
  • Carrying out competitor and market research to build commercial awareness and identify product opportunities.
  • Responsible for supporting the wider team with wholesale requirements including preparing important sales documents and catalogues.
  • Supporting the wider Buying team with seasonal projects and contributing to the efficient day-to-day running of the department.

SKILLS/EXPERIENCE REQUIRED:

We're looking for someone who is organised, proactive and passionate about product, with a keen eye for detail and a desire to develop a career in Buying. You'll ideally have:

  • Previous administration experience, ideally within a Buying, Merchandising or Product environment (although this isn't essential).
  • A genuine interest in fashion, retail and emerging trends, with an understanding of the Pour Moi customer.
  • Excellent organisational skills, with the ability to manage multiple priorities and work to deadlines in a fast-paced environment.
  • Strong attention to detail and a high level of accuracy.
  • Confident communication skills, with the ability to build positive relationships with colleagues and suppliers.
  • Good commercial awareness and an interest in competitor activity and product performance.
  • Strong numerical skills and confidence working with data and reports.
  • Good knowledge of Microsoft Office, particularly Excel, and the ability to learn new systems quickly.
  • A positive, proactive and adaptable approach, with a willingness to take ownership, use initiative and work collaboratively as part of a team.
  • Understanding of garment construction, product development or the buying process.

Desirable: Experience working with product management systems, Experience writing product copy or supporting e-commerce product information, Awareness of SEO principles and online product optimisation.

The ideal candidate will have some experience working in a Buying office, however previous experience is not essential.
