Buying Administration Assistant

An exciting opportunity to join us as a Buying Administration Assistant has been created to address our growing business needs.

This is an entry-level role covering multi-category clothing and accessories spanning Womenswear, Menswear, and Kidswear. You will give support to the Buying team with data entry, administration, sample management, and critical path management. Reporting into the Assistant/Junior Buyer and Commercial Manager.

Key Responsibilities

  • With support from JB, detailed management of the department critical path - liaising with suppliers to ensure CP is up to date, system kept updated, and issues and risks to deliveries escalated to the Buying and Operations team.
  • Administration of all order management in collaboration with Wholesale Admin Assistant.
  • Weekly reviewing trade from partner brands and presenting back to JB and Commercial Manager.
  • Assisting with the approval process and relaying all approvals to suppliers - viewing approvals through commercial eyes, understanding the vision for the final product, and escalating concerns.
  • File and record in critical path all approvals, updating color files where necessary.
  • Raising Purchase Orders for each brand with precision and attention to detail.
  • Sample management, including obtaining them from suppliers, sending externally and internally, preparing for shoots, sealing samples, and regular clear outs to storage and disposal.
  • Coordinating weekly fit sessions with the Technical team, ensuring samples arrive ahead of fit deadline.
  • Working closely with the design team to prepare for meetings – racking up the showroom, steaming, and general organizing.
  • Working closely with the shoot team, coordinating the sample log, and ensuring all samples are ready for shoot date.
  • Conducting regular competitive shops and sharing competitor activity with the team.

  • Previous experience as a BA is preferable, not essential.
  • Strong attention to detail.
  • Self-motivator who is enthusiastic and determined in their role.
  • Contributing team player.
  • Good communication and organizational skills.
  • Ability to multitask as part of a multi-brand department.
  • Proficient in Microsoft Office, especially Excel.
  • Passion for product!
