Job Opportunity: Buying Administration Assistant
MR PORTER is looking for a talented and highly organised Buying Administration Assistant to join our Buying team. This is an exciting opportunity for someone with strong administrative skills, a passion for luxury fashion, and an interest in the commercial side of the business. Working closely with the Senior Buyer and wider Buying team, you will play a key role in supporting the smooth running of the department, ensuring accuracy across systems, suppliers and product processes.
Some of the essentials for you to know are:
- Location: Westfield, Shepherds Bush London
- Hours: 37.5 hours per week (4 days in office, 1 from home)
- Reporting into: Senior Buyer

Here is a breakdown of what you’ll be doing:
- Manage and maintain accurate purchase orders within Fulcrum, including order confirmations, cost prices, style codes, shipping windows, uplifts and other key details.
- Support the onboarding of new suppliers, ensuring all paperwork is completed and suppliers are correctly set up across internal systems and Accounts Payable.
- Maintain accurate records of payment terms, shipping details and supplier information.
- Raise re-orders as requested by the department and support ongoing stock management.
- Complete site checks, request product merges and create new PIDs where required.
- Manage all pre-upload checks, resolving issues ahead of go-live, including pre-shoot preparation and product readiness.
- Collect, check and upload seasonal RRPs, ensuring pricing accuracy and appropriate margins are maintained.
- Prepare vendor packs ahead of buying trips, including sell-through reports, vendor pack reports, range plans and relevant supporting files.
- Act as a key point of contact for queries across Buying, Accounts Payable, Customer Care, Editorial, Product Editorial, Samples and Studio teams.
- Provide wider administrative support to the Buying team, ensuring smooth day-to-day operations.

- Previous commercial experience gained within a fast-paced fashion retail buying or merchandising environment, with strong administrative skills.
- Advanced MS Office skills, particularly in Excel, PowerPoint and Word.
- Strong commercial awareness with an understanding of our business, products and competitors.
- Excellent attention to detail with strong organisational skills and a commitment to accuracy.
- Ability to manage multiple priorities and work effectively to meet stringent deadlines.
- A proactive approach with a strong work ethic and the ability to multi-task.
- High level of numerical and commercial reasoning.
