About The Role
Due to business growth we are looking for an organised, calm, and caring Care Coordinator to join our friendly office team. This is a vital role in ensuring our customers receive safe, reliable, and high-quality care in their own homes.
You will be responsible for coordinating Care Assistants, managing rotas, and responding to changing needs—always keeping both our customers’ wellbeing and our Care Assistants’ work-life balance at the heart of what you do.
Key Responsibilities
- Coordinate and schedule Care Assistants to ensure care is delivered safely, on time, and in line with customers’ care and support plans
- Allocate rotas in line with Care Assistants’ availability, skills, and experience
- Arrange cover for sickness, holidays, and emergency situations
- Accept and process new customer referrals promptly and efficiently
- Make and manage changes to customer care needs as required
- Strive to achieve efficient and optimised scheduling for both customers and carers

Main Duties
- Work closely with the senior managers to ensure appropriate staffing levels and skill mix
- Monitor and adjust rotas to maximise efficiency while supporting carers’ work-life balance
- Match Care Assistants to customers, considering:
- Skills, experience, and availability
- Customer preferences and care requirements
- Travel routes and working patterns
- Distribute staff rotas at agreed intervals
- Maintain accurate electronic records
- Record and monitor mileage, travel distances
- Ensure all customer and staff information is kept confidential and secure
- Carry out general office duties and prepare reports as required
- Communicate effectively with customers and their representatives, adapting to different communication needs
- Work collaboratively with the wider Bluebird Care team and external health and social care professionals
- Follow company policies and procedures at all times

- Highly organised with excellent attention to detail

- Strong communication and interpersonal skills
- Able to manage competing priorities in a fast-paced environment
- IT confident and comfortable using scheduling and care systems
