Central Service Administrator – On-Site (5 days per week)

The Opportunity

As a Central Service Administrator, you’ll lead administrative support across service operations, ensuring smooth coordination, compliance, and data-driven performance tracking.

Your Impact

Depot Service Support

  • Handle incoming service calls with professionalism and speed
  • Log and document customer issues accurately
  • Schedule and allocate engineers based on skill sets and availability
  • Optimise engineer routes to minimise downtime

Processing Support

  • Provide administrative assistance to installation teams when required

Contract Support & Planning

General Contracts:

  • Assist in setting up, renewing, and managing service contracts
  • Collaborate with internal teams and customers to implement contract terms
  • Update records of contract activities and schedules
  • Monitor contract performance and coordinate with service centres to meet targets

Technical/Knowledge Account (TKTK) Contracts:

  • Manage tailored agreements with internal teams and account managers
  • Liaise with service centres to ensure contractual obligations are met
  • Prepare bespoke planning documents for TKTK accounts
  • Track service delivery against contract KPIs

Warranty Claims & Manufacturer Re-works

  • Process warranty claims promptly and accurately with suppliers/manufacturers
  • Maintain a warranty register and follow up on outstanding claims
  • Support engineers in gathering claim documentation
  • Liaise with parts control for warranty parts processing
  • Identify and escalate recurring warranty issues or trends
  • Oversee manufacturer re-work campaigns

Compliance Support

  • Maintain compliance records for:
    • Customer vehicles (Fleet Management)
    • F-Gas inspections and certification
    • Tail Lift regulations (LOLER compliance)
  • Ensure adherence to legal and company standards
  • Schedule and track mandatory inspections/testing
  • Prepare audit-ready documentation and assist in external checks

Customer Reporting & KPI Monitoring

  • Generate regular reports on performance metrics and KPIs
  • Ensure accurate, timely data delivery to customers
  • Analyze service trends, compliance gaps, and operational improvements
  • Escalate issues flagged in reports
  • Act as a central point of contact for key accounts

What You’ll Bring

Essential Skills & Experience

  • Proven experience in service administration or a similar support role
  • Strong organisation, planning, and attention to detail
  • Ability to manage multiple tasks and prioritise deadlines
  • Exceptional communication skills (written and verbal)
  • Proficiency in Microsoft Office Suite, particularly Excel and reporting tools
  • Familiarity with IFS and compatible service portals
  • Knowledge of compliance regulations, such as:
    • F-Gas (or equivalent)
    • LOLER (for Tail Lifts) (advantageous)

Qualifications

  • Minimum GCSEs (or equivalent) (Further education or business qualifications desirable)

  • Training/qualifications in compliance management or contract administration (a plus)

Key Traits
