Central Service Administrator

Location

On-Site (5 days a week)


Job Summary:

The Central Service Administrator plays a critical role in supporting our service operations by managing administrative processes related to:

  • Service contracts
  • Compliance
  • Warranty claims
  • Customer reporting

This position ensures operational efficiency, contract compliance, and accurate performance tracking through documentation, reporting, and KPI maintenance. You’ll also provide essential support to depot service teams, fostering seamless coordination to enhance service delivery and effectiveness.


What You Will Do

Depot Service Support

  • Answer and manage incoming service calls promptly and professionally.
  • Log service requests and ensure accurate customer issue documentation.
  • Schedule and allocate engineers based on skill sets and availability.
  • Optimise engineer routes and scheduling to improve efficiency and minimise downtime.
  • Provide installation team support when needed.

Contract Support and Planning

  • Assist in setting up, renewing, and managing service contracts.
  • Liaise with internal teams and customers to ensure accurate contract documentation.
  • Maintain up-to-date records for contract activities and schedules.
  • Monitor contract performance and support operational planning against service delivery targets.

TKTK Contract Support and Planning (Tailored Knowledge-Based/Key Account Contracts)

  • Manage TKTK-specific requirements.
  • Coordinate with service teams and account managers for contractual obligations.
  • Prepare bespoke planning documentation and reports.
  • Monitor progress against TKTK contract KPIs.

Warranty Claims and Manufacturer Re-works Administration

  • Process warranty claims with suppliers/manufacturers efficiently.
  • Maintain a warranty register and follow up on pending claims.
  • Aid technicians in gathering claim documentation and coordinate with parts controllers.
  • Monitor trends and escalate recurring warranty issues.
  • Manage and review manufacturer re-work campaigns.

Compliance Support (Including F-Gas and Tail Lift Regulations)

  • Maintain updated records for vehicle compliance, including fleet management, F-Gas, and tail-lift inspections.
  • Ensure adherence to legal and company compliance standards.
  • Schedule and track required inspections and testing.
  • Support audit-ready documentation and provide assistance for external inspections.

Customer Reporting and KPI Monitoring

  • Generate regular customer reports, performance metrics, and KPIs.
  • Ensure data accuracy and timely report delivery.
  • Provide insights and analysis on service performance, compliance, and trends.
  • Collaborate with teams to resolve report-based concerns.
  • Serve as a central point of contact for key accounts.

What You Will Bring

  • Proven experience in a service administration or related administrative role.
  • Strong organisational and planning abilities.
  • Exceptional attention to detail with a commitment to data accuracy.
  • Ability to manage multiple tasks and deadlines effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, particularly Excel and reporting tools, including experience with IFS.
  • Familiarity with compliance regulations such as F-Gas and LOLER (Tail Lifts) is advantageous.
  • Experience working with warranty systems and customer service portals is preferred.
  • Minimum of GCSEs (or equivalent). Further education or business administration qualifications are desirable.
  • Training or certification in compliance management or contract administration is a plus.
  • Flexibility to support during peak reporting periods or compliance audits.
