Job Summary
The Central Service Administrator is a pivotal role, supporting service operations to ensure efficiency, compliance, and excellence. You’ll manage administrative processes for service contracts, warranty claims, compliance tracking, and customer reporting, while supporting depots with seamless coordination.
Your work will drive operational effectiveness by maintaining records, generating reports, and monitoring KPIs. Additionally, you’ll act as a key link between depot teams, customers, and internal stakeholders, ensuring smooth service delivery and compliance with regulatory standards.
What’s This Role About?
This On-Site position (5 days per week) is based in our service operations, where you’ll deliver high-impact administrative support across multiple critical areas.
Key Responsibilities & Priorities
1. Depot Service Support
- Respond professionally to incoming service calls, escalating issues as needed.
- Log service requests accurately and maintain up-to-date customer documentation.
- Schedule and allocate engineers based on skill sets, workload, and availability.
- Optimise routes and schedules to minimise downtime and maximise efficiency.
- Support the installation team where required.
2. Contract Support & Planning
- Assist in setting up, renewing, and managing service contracts, including:
- Handling service bookings.
- Liaising with internal teams and customers to ensure terms are documented and implemented.
- Maintaining contract records and adhering to renewal schedules.
- Monitor contract performance to meet service delivery targets, collaborating with:
- Operational planners.
- Service centre teams.

3. TKTK (Tailored Account/Key Account) Contract Specialist
- Admin Tailored Knowledge-based/Key Account contracts to meet client needs.
- Coordinate with service teams and account managers to ensure contract compliance.
- Prepare customised planning documents and KPI reports for high-value accounts.
- Track and review service delivery against contract milestones.
4. Warranty Claims & Manufacturer Re-works
- Process warranty claims with suppliers and manufacturers, ensuring accuracy and timeliness.
- Maintain a warranty claims register and follow up on overdue claims.
- Assist technicians and service teams with documentclass submission.
- Work with parts controllers on warranty part returns.
- Monitor trends in warranty issues and escalate recurring problems.
- Oversee and review manufacturer re-work campaigns.
5. Compliance & Regulatory Support
- Support F-Gas regulations and tail lift compliance (including LOLER/TILMCO).
- Maintain comply records for fleet management, inspections, and certifications.
- Schedule and track mandatory compliance assessments.
- Ensure audit-ready documentation is prepared for external inspections.
- Liaise with legal and compliance teams to maintain adherence to standards.
6. Customer Reporting & KPI Monitoring
- Generate regular performance reports, including:
- Service metrics and KPIs.
- Contract compliance indicators.
- Deliver accurate, actionable data to customers and internal teams.
- Analyse service performance, identifying trends and opportunities for improvement.
- Serve as a primary point of contact for key accounts.

What You Bring to the Role
- 2+ years of proven experience in service administration, contract management, or customer service support.
- Strong organisation and prioritisation skills to manage multiple demands.
- Attention to detail with a focus on data accuracy across contracts, warranties, and reports.
- Ability to manage tight deadlines under pressure, particularly during reporting periods or audits.
- Excellent communication skills, both written and verbal, with customer-centric professionalism.
- F fluency in Microsoft Office (Microsoft Excel, PowerPoint, and reporting tools), preferably IFS.
- Experience with warranty systems or customer service portals is advantageous.
- Knowledge of F-Gas and Tailift/LOLER regulations is a strong asset.
- Basic industry recognised qualifications (GCSEs or equivalent), with formal business/credits/optraining or compliance certifications a plus.
