Role: Central Service Administrator (On-Site, 5 Days per Week)

Job Summary

The Central Service Administrator plays a critical role in supporting service operations by managing administrative processes for:

  • Service contracts
  • Compliance
  • Warranty claims
  • Customer reporting

This position ensures operational efficiency, contract compliance, and accurate performance tracking through meticulous preparation and maintenance of documentation, reports, and key performance indicators (KPIs). The role also provides essential support to depot service teams, ensuring seamless coordination and communication to improve overall service delivery.


Key Responsibilities

Depot Service Support
  • Answer and resolve incoming service calls promptly and professionally.
  • Log service requests while ensuring clear, accurate documentation of customer issues.
  • Schedule and allocate engineers for tasks based on skill sets and availability.
  • Optimise engineer routes and schedules to enhance efficiency and reduce downtime.
Processing Support for Depot Operations
  • Provide additional support to the installation team when needed.
Contract Support and Planning (General & TKTK Account-Specific)

General Contract Support:

  • Manage administrative processes for service contract setup, renewal, and ongoing management, including supporting bookings.
  • Liaise with internal teams and customers to ensure accurate documentation of terms.
  • Maintain up-to-date records of contract activities and schedules.
  • Monitor contract performance and aid operational planning for timely service delivery.

TKTK (Tailored Knowledge-Based/Key Account) Contract Support:

  • Administer unique requirements for TKTK contracts and coordinate with account managers.
  • Develop customised planning documentation and reports for key accounts.
  • Track milestones against TKTK contract KPIs.
Warranty Claims & Manufacturer Reworks
  • Process warranty claims with suppliers and manufacturers efficiently.
  • Maintain a warranty register, following up on outstanding claims.
  • Assist technicians in collecting necessary documentation for claims.
  • Partner with parts controllers to expedite warranty part returns.
  • Monitor trends and escalate recurring warranty issues.
  • Keep abreast of programmes related to manufacturer reworks.
Compliance Support (Inclusive of F-Gas & Tail Lift Regulations)
  • Maintain compliance records for vehicles (including Fleet Management, F-Gas, and Tail Lift inspections).
  • Ensure adherence to legal and company compliance standards.
  • Schedule and monitor mandatory inspections and testing.
  • Support service centre planning through audit-ready documentation.
Customer Reporting & KPI Monitoring
  • Generate comprehensive customer reports, including performance metrics and KPIs.
  • Ensure data accuracy and timely report delivery.
  • Provide insights and analyses on service performance, compliance, and trends.
  • Collaborate with operational teams to address issues raised in reports.
  • Serve as the central contact point for high-value accounts.

Key Skills and Experience

  • Proven experience in service administration or a relevant administrative support role.
  • Strong organisation, planning, and multi-tasking abilities.
  • Exceptional attention to detail and accuracy with diverse data.
  • Adaptability to manage multiple tasks and deadlines efficiently.
  • Outstanding communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, with advanced skills in Excel, reporting tools, and IFS systems.
  • Familiarity with F-Gas and LOLER (Tail Lifts) regulations preferred.
  • Experience working with warranty systems and customer service portals is advantageous.
Qualifications
  • Minimum of GCSEs (or equivalent qualification).
  • Educational/technical qualifications in business administration, compliance management, or contract administration are desirable.
