CEO Office Manager
A pivotal role partnering with the CEO to build the operating rhythm, governance and execution capability of a fast-growing entrepreneurial investment management firm.
Our client is an entrepreneurial investment management business focused on delivering exceptional investment outcomes for its investors. Supported by an experienced investment team and a network of specialist outsourced providers, the firm is entering an exciting phase of growth and institutional development.
Joining at this stage offers a rare opportunity to work alongside the CEO and CFO at the heart of the business, helping shape how the firm operates as it scales. You'll build the executive office, strengthen governance, coordinate key strategic initiatives and ensure the CEO remains focused on investment, strategy and investor relationships.
The role
- Act as a trusted partner for the CEO and CFO, managing priorities and maximising executive effectiveness
- Create the operating rhythm for the CEO's office, ensuring strategic initiatives stay on track
- Lead executive meeting management, capturing actions and driving accountability across the business
- Coordinate firm-wide strategic and operational projects from planning through to delivery
- Oversee relationships with outsourced providers across compliance, legal, operations, technology, HR and fund administration
- Serve as Board and Investment Committee Secretary, managing governance processes, Board packs, minutes and action tracking
- Prepare executive communications, presentations and briefing materials for Board, investor and strategic meetings
- Identify risks, remove bottlenecks and proactively solve problems before they escalate
- Introduce structure, organisation and discipline within a fast-paced, entrepreneurial environment
- Leverage modern collaboration and AI tools to improve productivity and business execution

About you
- Experience as a Chief of Staff, Executive Office Manager, Board Secretary, Strategy, Operations or similar senior support role
- Background within investment management, financial services or another regulated environment is highly desirable
- Outstanding organisational and project management skills
- Commercially minded, highly proactive and comfortable operating with autonomy
- Strong experience supporting Boards, senior executives and multiple stakeholders
- Excellent communication skills, with the ability to influence and drive accountability without direct authority
- Calm under pressure, solutions-focused and exceptionally discreet
- Comfortable moving between strategic thinking and hands-on execution
- Confident using modern workplace technology, collaboration platforms and AI tools to improve effectiveness
