About the Role: CFS Invoicing Administrator

This critical operational role ensures the financial accuracy, customer trust, and operational efficiency of Halfords CFS. You will serve as a bridge between customers, depots, and internal teams, ensuring invoices are processed seamlessly, accounts are maintained meticulously, and customers receive exceptional service.

As the Invoicing Administrator for CFS, you will:

  • Support 24/7 fleet services operations at Universal Fleet Services, Lodge Tyre Fleet Services, and McConechy’s
  • Work with a customer-centric mindset, collaborating with colleagues to smarten up every interaction
  • Uphold Halfords’ CFS Values—providing quick, reliable, and professional service

Shift Pattern

The role runs Monday to Friday, with two shift schedules:

  1. 8:00 AM – 4:00 PM
  2. 9:00 AM – 5:00 PM

Occasional Saturday work may be required to support peak demand, but this is vital for ensuring reliable service.


Key Responsibilities: Driving Financial Integrity & Service Excellence

  • Account management & reporting

    • Maintain ownership of customer ledgers within internal systems, ensuring accuracy via BI-generated performance metrics
    • Monitor account health, track spending, and flag anomalies for action
  • High-volume invoice processing

    • Process sales invoices efficiently, adhering to company procedures and deadlines
    • Verify all documentation—ensure delivery notes, advice notes, and customer orders align with invoicing requirements
    • Double-check accuracy before sending out invoices and statements

  • Customer service & stakeholder relations

    • Respond professionally to customer and team inquiries (phone, email, internal queries)
    • Resolve invoice disputes and ensure friendly, effective stakeholder dialogue
    • Provide prompt, clear, and accessible support to maintain trust and operational flow
  • Statement & reporting excellence

    • Compile and distribute accurate customer statements and management reports
    • Analyse trends and provide actionable insights to management teams
    • Ensure all customer information is up to date and securely managed

    • Assist depot and administrative teams with system queries, IT queries, and ad-hoc tasks
    • Adapt to unexpected priorities, shifting focus as needed to support the business
    • Play an active role in improving efficiency wherever possible

About You: The Ideal Candidate

You will thrive if you have: ✔ Strong administrative skills – meticulous attention to detail, fast yet accurate in a fluent workflow ✔ Crystal-clear communication – both written (emails, reports) and verbal (phone calls, team discussions) ✔ Self-management prowess – ability to organise, prioritise, and complete tasks efficiently under pressure ✔ IVR-friendly personality – Customer service is at the heart of all we do; enthusiasm for brick-and-mortar or digital interactions is key ✔ Adaptability & resilience – comfortable working in a fast-paced, dynamic environment where changing demands are routine ✔ Logical problem-solving – can diagnose issues with clarity, propose solutions, and work independently where needed ✔ Excellent spreadsheet mastery – confident in Microsoft Excel (basic functions, pivot tables, data analysis) and Microsoft Word ✔ Tech-ready mindset – eager to learn and adapt to new systems, bespoke IT platforms, and industry tools
