Childcare Site Director

Site Director – Hemphill Elementary School

Location: Hemphill Elementary School, Birmingham, AL


Position Overview

Title: Site Director Status: Part-Time, Non-Exempt Schedule: Monday – Friday, 2:30 PM – 6:00 PM (follows school calendar; summer hours may apply) Pay: $17.00 – $20.00 per hour

Reports To: Area Director / Associate Executive Director Direct Reports: Site Staff

About the Role

The Site Director is the heart of a Healthy Kids Programs location. This role shapes daily operations, fostering a high-quality, engaging program that:

  • Delivers exceptional experiences for children
  • Ensures trusted, reliable service for families
  • Maintains compliance and supports staff growth

What Success Looks Like

A successful Site Director ensures:

✅ Program Quality

  • Children are engaged, safe, and thriving
  • The program reflects HKP’s curriculum standards
  • Families consistently re-enroll and recommend the site

✅ Staffing

  • The team is fully staffed daily
  • Teachers are prepared, supported, and focused on childcare

✅ Compliance

  • Staff-to-child standard ratios are maintained at all times
  • Records are accurate, up-to-date, and inspection-ready
  • Only certified staff (CPR, first aid, etc.) work on-site

✅ Inventory

  • Supplies are well-stocked and available to teachers
  • Programs run smoothly—nothing runs out mid-week
  • Materials are -secured, organized, and properly maintained

Key Responsibilities

1. Program Quality & Enrollment

  • Lead a high-quality, culturally-aligned program using HKP’s 10 Healthy Ways to Engage and Daily Programming Tools.
  • Create a safe, welcoming, and inclusive environment where every child feels valued.
  • Build strong family relationships: stay receptive, warm, and proactive in communication.
  • Promote retention by delivering a program that families want to continue, increasing referrals.
  • Represent HKP in enrollment outreach when directed.
  • Share program feedback, enrollment data, or concerns with Multi-Site Directors.

2. Staffing – Supporting & Leading Teachers

  • Supervise Lead Teachers and Assistant Teachers in program delivery and standards.
  • Define expectations for conduct, professionalism, and teaching methods.
  • Conduct regular site walkthroughs and provide real-time coaching based on observations.
  • Proactively communicate scheduling needs and coverage gaps to your supervisor.
  • Assist with new staff onboarding and provide mentorship as needed.
  • Address performance concerns and team dynamics promptly and document accordingly.
  • Build a positive team culture where staff feel supported, motivated, and aligned with mission.

3. Payroll, Labor & Scheduling Efficiency

  • Ensure staffing always meets compliance ratios (budget AND safety).
  • Review and approve timecards accurately & on time to match hours worked.
  • Monitor payroll vs. budget; resolve discrepancies (overtime, adjustments) proactively.
  • Create scheduled spanning efficiency while avoiding unnecessary overtime.
  • Communicate changes transparently and document adjustments.
  • Train in HKP’s payroll systems (e.g., Paylocity).

4. Compliance – Ratios & Site Safety

  • Maintain staff-to-child ratios at all times (standard — non-negotiable).
  • Record daily attendance accurately.
  • Ensure the program space is safe, clean, and fully compliant with Alabama DHR regulations.
  • Confirm all site staff hold valid CPR, first aid, and mandated reporter certifications.
  • Immediately report safety/health concerns to Multi-Site Directors.
  • Remain inspection-ready at all times.

5. Inventory Management

  • Maintain an organized supply log (supplies, materials, equipment).
  • Plan restocking proactively before shortages occur.
  • Ensure teachers have access to activity materials, arts & crafts, and learning resources.
  • Document damaged/broken supplies and escalate to supervisors immediately.
  • Model responsible resource stewardship in your approach.

Requirements

Minimum Qualifications

🔸 High school diploma or equivalent is required. 🔸 Pass a TB test. 🔸 Ability to complete all onboarding trainings (HKP + state mandated). 🔸 Prefer First Aid/CPR certification (or willingness to obtain promptly). 🔸 Knowledge of Alabama DHR licensing standards is essential. 🔸 Experience with HRIS systems (Arise system familiarity preferred).
