Job Title: Children’s Home Administrator

Location: Nottingham City - Kimber House and Evans House

Contract: Permanent, Part-Time (Hours as agreed with the Home Manager)

We are seeking a highly organised and detail-oriented Administrator to provide essential support directly within one of our children's services. You won't just be handling paperwork you'll be the crucial link that ensures our homes operate efficiently, safely, and compliantly, allowing our care staff to focus entirely on the young people.

Key Role & Responsibilities

This role is unlike that of any other Administrator, in our Children’s Homes we can guarantee each day will be different and be far from the peaceful office environment you may be used too, however don’t let this put you off as you will be working with a dedicated team who thrive on the challenge of supporting the children and young people with their daily needs.

As An Administrator, Your Position Is Critical In The Smooth Running Of The Home And Supporting The Management Team In Delivering Day To Day Administrative Tasks Including

  • Conduct and monitor critical staff compliance checks, including Enhanced DBS status checks and Driver Licence checks, ensuring all records are accurately logged on the Charms Management System.
  • Monitor staff training compliance and assist with the timely submission of the monthly payroll return by collecting and checking shift data.
  • Maintain clear and accurate records of all maintenance work and complete administrative tasks related to quality assurance.
  • Manage the petty cash system and reconcile credit card expenditure according to strict financial procedures, ensuring absolute transparency and accountability.
  • Raise purchase orders and efficiently manage the invoicing process to ensure external contractors and suppliers are paid promptly.
  • Ensure children's allowances are allocated and available on required days, and monitor their spend, escalating any concerns to the Manager.
  • Coordinate and accurately minute key meetings and ensure timely archiving of service paperwork in line with data protection regulations.
  • Serve as a key point of contact, liaising effectively with external agencies and suppliers as required.

What We Are Looking For (Essential Requirements)

  • Previous, proven experience in a busy office administration role.
  • Excellent written and verbal communication skills, outstanding organisational and time-management abilities, and a meticulous, detail-oriented approach.
  • The ability to work on your own initiative, problem-solve, and prioritise deadlines while maintaining a resilient, calm, and empathetic approach in a high-pressure environment.
  • A commitment to safeguarding and promoting the welfare of children and demonstrating integrity and accountability in all actions.
  • GCSEs (or equivalent) in Maths and English.
