Church Administrator
This new and exciting role would greatly support the administrative work of the church and seek to support the life of the church with its growing needs.
14hrs a week
- 50% - Finances (7hrs)
- 30% - Bookings & Buildings (c.4hrs)
- Including all maintenance, pest control, regular maintenance work, new bookings and regular bookings, any staff events, or regular events
- 20% - staff support, attend weekly staff meeting and be involved in leading the staff in prayer and where appropriate lead the staff bible study.
Line Manager: Head of Church Life
Pay: £14.80hr = £10,774.40
Experience
- Familiar with accounting software such as XERO, Equals, essential.
- Excellent administrative skills, proof reading, and a keen eye for attention to detail.
- Familiar with Microsoft 365 programmes, word processing, Excel spreadsheets etc.
- Working with database platforms such as Church Suite, desirable.
- Good at working in a team, happy to pick up admin tasks as they arise.
Key Responsibilities
Finance & Treasury
- Ledger Management: Maintain accurate financial records, including ledger entry and treasury work.
- Reconciliation: Perform regular reconciliation of all expense accounts to ensure financial accuracy.
- Accounts Payable: Work alongside the Church Treasurer and Head of Church Life to process invoices and payments in a timely manner.
- Oversight: Maintain day-to-day oversight of church finances, ensuring all transactions align with internal controls.

Buildings & Bookings
- Committee Support: Provide administrative support to the Buildings Committee, including minuting meetings and ensuring all action points are completed.
- Contractor Management: Serve as the primary point of contact for contractors; schedule and oversee essential maintenance (e.g., PAT testing, pest control, boiler servicing).
- Compliance: Ensure the church premises consistently meet UK Health & Safety standards and denominational requirements.
- Project Support: Provide administrative assistance for large-scale building projects and capital works as required.
- Diary Oversight: Manage the master church calendar, ensuring all internal services and external events are coordinated.
- Relationship Management: Maintain positive relationships with existing hirers and handle all one-off and regular booking enquiries.
- Business Development: Proactively seek new hire opportunities to grow income, ensuring all external partners align with the church’s purpose, vision, and values.
- Administration: Manage the end-to-end booking process, including logistics, producing hire agreements, and chasing invoices.

Staff & Clergy Support
- General Admin: Provide ad-hoc administrative support to the Clergy and staff team, including liaising with the Diocese of Southwark.
- Safeguarding Administration: Act as the lead administrator for DBS checks, ensuring all staff and volunteers have valid certification and maintaining accurate records.
- Policy Upkeep: Responsible for the systematic review and storage of all church policy documents to ensure they remain current and compliant.
- Communications: Together with the ‘Head of Church Life’, monitoring the central inbox and providing timely, professional responses to members and external organisations.
- Secretarial Support: Assist in the planning and logistics of church meetings, including attending at the Vicar's request to record minutes and track follow-up actions.
