Claims Administrator
Reports to: CEO of Condon Claims Management
Working Arrangements: This role is part-time and follows a hybrid pattern, with core office days on Tuesday and Wednesday.
Overall Objective of Role:
To manage and process CCM UK fee invoicing, collections, and dual collections activity, ensuring accurate recording, timely submission, and clear financial reconciliation with Accounts via VCA and supporting spreadsheets.
Specific Responsibilities:
Fee Invoicing, Controls & Reconciliation
- Oversee the monthly CCM UK fee invoicing cycle from VCA, ensuring completeness, accuracy, and timely processing.
- Monitor work in progress, invoicing totals, VAT, disbursements, and carried-forward balances, providing clear summaries to Newcastle Accounts.
- Maintain oversight of fee reconciliations between VCA, supporting spreadsheets, and accounting systems, investigating and resolving variances.
Collections Governance and ECF Oversight
- Coordinate the submission and tracking of CCM UK fee and dual collection entries via ECF, ensuring appropriate documentation and compliance requirements are met.
- Maintain ownership of collection bordereaux, endorsements, and compliance loss runs for Axis and ILU (MIC and RSAI), ensuring accuracy and audit readiness.
- Monitor underwriter responses and bureau signings, updating records and outstandings accordingly.

Payment Monitoring & Account Liaison
- Track incoming payments for CCM UK fees and dual collections, ensuring timely conversion and accurate allocation within VCA.
- Act as the primary liaison with Accounts for payment identification, reconciliation, and correlation.
- Provide clear payment breakdowns and supporting documentation to enable efficient financial processing.
Dual Claims & Collection Management
- Oversee the financial processing of dual collections, ensuring claims are correctly classified, proportioned, and presented to underwriters.
- Ensure Axis and ILU shares are accurately calculated, recorded, and progressed through agreed collection mechanisms.

Reporting & Month-End Assurance
- Produce and distribute monthly loss runs and collection summaries to Dual, Axis, and ILU stakeholders.
- Ensure ILU reporting is appropriately split between MIC and RSAI and reflected accurately on block ECF entries.
- Confirm month-end position by validating that collections, outstanding balances, and superseded entries are correctly reflected across systems.
Person Specification:
Technical Skills
- Strong working knowledge of VCA, ECF, Lloyd’s and ILU bureau processes
- Advanced Excel skills, including reconciliation and data validation
- High attention to detail and strong organisational skills
- Good working knowledge of standard Windows applications (e.g. Outlook, Word etc)
Qualifications
- Relevant finance, insurance, or accounting qualification desirable
