The Role

As a Clerical Assistant within the Cook Freeze Production Unit, you will play an important role in supporting the delivery of catering services that directly contribute to patient care across NHS Greater Glasgow and Clyde. Working within a busy and supportive Facilities Catering team, you will ensure that essential clerical processes, records and systems are maintained accurately and efficiently. This is an excellent opportunity for someone who enjoys organisation, problem-solving and working collaboratively with a wide range of colleagues. Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.

Duration, Location, and Working Pattern:

  • Part-time, permanent
  • You will be based at Inverclyde Royal Hospital
  • Working Pattern: Monday - Friday 08:00 - 14:00

Please note the salary is Pro Rata for part time hours.

Key Responsibilities

  • Support the processing of food production information for local and external hospital sites
  • Maintain departmental records including training, annual leave, health and safety and personnel information
  • Accurately maintain and update information held on the Catering Information System (CIS)
  • Support ordering processes and liaise with suppliers, procurement teams and internal stakeholders
  • Provide secretarial and administrative support to Cook Freeze Production Unit management teams
  • Assist with stock taking activities and ensure records are maintained to a high standard
  • Respond professionally to enquiries and complaints while delivering a high-quality clerical service.

Knowledge, Training, Qualifications and/or Experience Required to Do the Job:

  • Experience of working within an administrative or clerical environment with strong record-keeping skills
  • Knowledge of clerical processes that support food production or operational services
  • Experience using Microsoft Office applications including Word, Excel and Outlook
  • Knowledge of, or experience working with, systems such as CIS, PECOS and SSTS
  • Good communication skills with the ability to build effective working relationships across departments
  • Ability to work under pressure, manage competing priorities and meet deadlines
  • Flexible and adaptable approach with a willingness to undertake training, including Elementary Food Hygiene certification
