Job Overview

Working in a highly pressurised environment to provide a professional, efficient, and effective administrative service for the Department. Using initiative in sometimes complex situations to ensure that patients are booked in line with local and national Access targets.

  • Work as part of a team, supporting other team members to deliver the Access targets and a patient-focused booking service.
  • Obtain case notes for the Department on a timely basis from various locations on Glan Clwyd’s site, including the Medical Records Department.

Main Duties of the Job

  • Manage own workload with minimum supervision.
  • Answer telephone enquiries into the department promptly both internal and external, dealing with queries in a tactful, professional manner and ensuring patient confidentiality is maintained.
  • Through the use of Priority Picking Lists/Primary Target Lists, select and send for adequate numbers of appropriate patients to fill future new and follow-up clinic slots, ensuring at least six weeks’ notice is given. Ensure that subsequent telephone requests from patients to book appointments are dealt with in a timely manner. Ensure patients able to attend at short notice are identified and contacted when patients cancel/are cancelled.
  • Regularly monitor patients that fail to contact the Department to arrange appointments, ensuring that all reminder letters are sent out on time and where necessary, patients are removed from the waiting list in line with local policies and procedures and in accordance with Welsh Assembly guidelines.
  • Ensure that data held on the WPAS system is accurate, up to date, and fit for purpose, responding to and undertaking any outcomes of validation and data quality checks.
  • Provide reception cover for Orthopaedics during times of leave.
  • Obtain and prepare case notes for the Department on a timely basis from various locations on Glan Clwyd’s site, including the Medical Records Department.

  • ECDL or equivalent experience of working with Microsoft Packages to include Excel and Word.
