Client Administration Team Head (Operations)

Role is based in London

Job Purpose

To lead and oversee the Client Administration function within TPS Operations, with responsibility for:

  • Driving operational excellence
  • Strengthening controls
  • Developing junior talent
  • Producing meaningful Management Information (MI) to support senior management oversight and decision-making

Leadership & People Management

As the Team Head, you will:

  • Build and maintain a high-performing team with shared ownership of results.

  • Lead the Junior Recruitment Programme, including:

    • Candidate assessment
    • Onboarding processes
    • Structured development pathways.
  • Conduct Team Resource Planning and recruit new talent (both internal and external hiring).

  • Agree on business and development objectives with team members to drive performance and growth.

  • Manage the team’s workplan and task allocation to ensure effective performance.

  • Develop team members to their full potential through:

    • Mentoring
    • Coaching
    • Structured training plans
  • Communicate company and business updates to the team.

  • Conduct regular formal and informal reviews to track progress and wellbeing.

  • Handle grievances, absence management, and disciplinary processes.

  • Oversee holiday approvals and expenses on behalf of senior leadership.

Operational Oversight

You will handle complex tasks and queries effectively, making key decisions with minimal direction. Your responsibilities include:

Transaction Processing & Reconciliation

  • Reconcile client accounts for accurate asset recording.
  • Record cash received into client accounts.
  • Process management fees.
  • Process US tax forms (W-8 documentation).
  • Submit transaction reports.
  • Analyse transaction reporting files and investigate rejections.
  • Process various asset types:
    • Equities
    • Bonds
    • Funds
  • Handle different account types:
    • GIAs
    • SIPPs
    • ISAs

Specialist Administrative Functions

  • Manage ISAs, including:
    • Maintaining accurate documentation.
    • Posting subscriptions.
    • Submitting annual ISA returns.
  • Process outgoing payments.
  • Manage ad hoc customer queries.
  • Identify control gaps and drive continuous improvement.
  • Set up and maintain the security universe.
  • Complete ad hoc static data tasks.
  • Run regular client money interest calculations.
  • Attend and contribute to OPS Committee meetings, including:
    • Creating monthly Management Information (MI).
    • Analysing and presenting data on:
      • Operational performance
      • Risk indicators
      • Service levels

Specialist / Technical Requirements

Essential:

  • Experience in leading a team, including:
    • Recruitment & onboarding
    • Performance management
    • Employee development & reviews
    • Handling employee issues

  • Industry experience in investment operations, with a deep understanding of:

    • Equities, bonds, and funds
    • GIAs, SIPPs, and ISA regulations.
  • Strong knowledge of ISA regulations and operational processes.

  • Previous experience working with either a custodian or investment management firm.

  • Proficiency in Microsoft Office (especially Excel).

  • Essential IT skills, including data management and reporting.

Advantageous:

  • Knowledge of Tercero / Crest / Nexen / Aegon (investment software).
  • Industry certifications or qualifications (e.g., CISI).
