Client Administrator
Administrative Support – Financial Planner Role

Job Purpose
To provide full administrative support to Financial Planners, ensuring client satisfaction through direct client interaction and collaboration with internal teams, while maintaining strict adherence to regulatory standards.
Key Responsibilities
- Work closely with aligned Financial Planners to deliver excellent client outcomes.
- Build and maintain client relationships, ensuring regular communication.
- Manage back-office systems and client records, aligning with company policies.
- Request policy information from third-party providers where applicable.
- Liaise with operational teams on activities such as:
- Script execution
- Transfers
- Corporate actions
- Static data changes
- Prepare meeting packs and client valuations (as required).
- Process all business operations within regulatory processes while maintaining a proactive pipeline, including:
- Establishing new accounts on internal systems.
- Collating AML (Anti-Money Laundering) documentation.
- Identify and report any risks, breaches, or errors, ensuring risks are logged and mitigated through clear controls.
- Encourage client use of internal portal and digital tools, offering guidance where necessary.
- Collaborate with colleagues and share best practices.

Requirements
Skills, Experience & Qualifications
- Previous administrative experience within a financial planning or wealth management environment.
- A strong ethic of client service.
- Ability to work under pressure, prioritise tasks efficiently, and deliver under tight deadlines.
- Excellent communication skills (both written and verbal), including influence, organisation, and problem-solving.
- Strong judgement and reasoning skills to propose effective solutions to challenges.
