Client Associate – Psych Health Administration (Remote)

Role Overview
Our Client Associate (Psych Health Administration) will act as an administrative backbone to the Psych Health team, managing occupational health cases daily. This pivotal role supports patients, clients, clinicians, and the wider team through excellent administrative services.
You will:
- Support the smooth running of psychological occupational health services
- Serve as the first point of contact for clients, employees, and healthcare partners
- Uphold confidentiality, professionalism, and GDPR compliance in all communications
Key Responsibilities
Administrative Support & Operations
- Answer and make cloud-based telephone calls (recorded for training and quality assurance)
- Book, manage, and coordinate appointments for patients/clients
- Respond to email enquiries promptly and professionally
- Review, proofread, and release reports for accuracy and completion
- Process invoicing and case closure procedures
Case Management
- Review patient cases, chase updates, and gather essential information
- Escalate complex cases, complaints, or delays to relevant colleagues
- Maintain up-to-date records of face-to-face consultations, telehealth sessions, and correspondence
Coordination & Liaison
- Liaise with:
- Internal team members (including clinical staff)
- Clients and their employees
- Third parties (GPs and other healthcare providers)
- Coordinate and maintain diaries/directories for maximum clinical staff utilisation

Required Qualifications & Skills
Core Competencies
- Excellent verbal and written communication skills (including English proficiency)
- Strong organisational ability, multitasking, and adaptability to fast-paced environments
- Attention to detail and data accuracy
- Proficiency in IT systems, including:
- Microsoft Outlook, Word, Excel
- Familiarity with Office 365 is advantageous
- Ability to initiate solutions, work under pressure, and demonstrate proactive decision-making
Industry-Recognised Attributes
- Occupational Health or similar administrative experience (desirable but not mandatory)
- Knowledge of GDPR standards and confidentiality protocols
- Commitment to continuing professional development in workplace health/wellbeing contexts

Working Arrangements
- Location:
- Remote from home within the UK only
- Overseas working not permitted
- Hours:
- Full-time: 37.5 hours/week (7.5 hours/day)
- Core working hours: 08:00–18:00, Monday to Friday
- Workspace:
- A dedicated, quiet environment is required for productivity
Remuneration
- Salary: £24,784.50 per annum (set rate for this remote role)
