Key Responsibilities:
- Providing excellent customer service and taking personal responsibility for your tasks, through every step of the Bailey Robinson client journey - elevating each step where possible.
- Working alongside the sales team, you’ll be liaising directly with clients, building rapport to arrange the details of their holiday and provide a full concierge service. Establishing these strong relationships is key to creating customer loyalty.
- With keen attention to detail, you’ll provide the second-eye check to ensure the booking details are accurate, flagging inconsistencies and working with the sales team to ensure a seamless itinerary.
- It will be your responsibility to prepare the full client confirmation and final documentation, tailoring each to ensure the client has all the information they need, at an appropriate time, presented in a clear, concise, yet personalised manner.
- Embracing all new technologies, as we evolve to offer our clients the very best service, you’ll upload itineraries onto our Vamoos travel app, which provides an opportunity to create visually stunning, customer-friendly, and personalised journeys, which underpin our luxury offering.
- Taking responsibility to ensure all payments are received, suppliers are paid on time, and costings are updated as items are added as part of the client’s concierge needs.
- Administrative tasks include maintaining/updating client systems, printing customer documents, supporting the sales team with chasing outstanding items from suppliers or customers, and any other tasks that help the efficiency of the office.
- As your confidence with the role grows, you’ll assist the sales team earlier in the sales process, helping with quotations and itinerary production.
- Special projects on an ad hoc basis; for example, updating systems with new data, writing pieces for magazines and social media, updating website information.

General Administration:
- Assisting with the improvement of the sales support process and client documentation for Bailey Robinson, to ensure it remains fit for purpose and reflects our personalised approach.
- Answering the shared office telephone and forwarding enquiries to the appropriate department.
- Monitor the general email account and forward relevant emails to the appropriate person.
- Take turns to have the 24-hour emergency phone.
- Assist with administration for Product & Marketing as necessary.
