A bit about the role

We are looking for a highly organised Client Relations Coordinator to support the delivery of sponsor and client obligations for Mining Indaba.

The role will sit within the Client Relations team and will have a strong focus on sponsored content, including Mining Indaba’s Industry Intel programme. The successful candidate will help coordinate sponsor deliverables, speaker information, client assets, website updates and internal trackers, working closely with Client Relations, Content, Sales, Marketing and Operations.

The role will report into the Head of Client Relations, with mentorship and guidance from the wider Client Relations team.

As part of your job, you’ll be:

Sponsored Content & Industry Intel Coordination

  • Support the coordination of sponsored content deliverables, including Industry Intel sessions.
  • Collect and track speaker information, bios, headshots, logos and other required assets.
  • Liaise with Content, Sales and Client Relations to ensure sponsored content requirements are clear and delivered on time.
  • Maintain accurate trackers and escalate missing information or risks where needed.

Sponsor Deliverables & Client Administration

  • Support the Client Relations team with sponsor deliverable tracking and general administration.
  • Help onboard sponsors into relevant internal processes once contracts are confirmed.
  • Keep client and sponsor trackers updated with deadlines, actions and delivery status.
  • Support the collection, filing and organisation of sponsor assets and client information.

Agenda, Website & Asset Management

  • Support updates to the website, agenda and relevant event platforms.
  • Ensure sponsor, speaker and session information is accurate and consistent.
  • Check names, job titles, logos, session details and other assets before publication.

Cross-Functional Coordination

  • Work closely with Content, Sales, Marketing and Operations to support smooth delivery.
  • Attend relevant internal meetings and provide updates on sponsored content and client deliverables.
  • Help maintain clear processes, trackers and communication across teams.

Skills and experience

  • Ideally 1 year of experience in an office, administrative, events, client service or coordinator role.
  • Strong organisational skills and attention to detail.
  • Good Microsoft Office skills, particularly Excel, Outlook, Word and Teams.
  • Confident using spreadsheets, trackers and shared documents.
  • Strong written and verbal communication skills.
  • Able to manage multiple deadlines and follow up professionally.
  • Positive, proactive and willing to learn.
  • Interest in events, sponsorship, client relations, content or conferences.

Experience with Monday.com, CRM systems, CMS platforms or project management tools would be helpful, but is not essential.
