About the Role
The Client Services Administrator encompasses two primary areas within the Operational Support Department: Policy Servicing and Client Reviews Administration.
The Policy Servicing Team manages administrative tasks, back-office system updates, and support for Paraplanners and Advisers.
The Client Reviews Administrator ensure client records are up to date, schedule review meetings, prepare documentation, and maintain compliance—key to fostering strong client relationships and efficient administrative support.
Key Responsibilities
Policy Servicing
- Understand and support the Policy Servicing process, enhancing it where necessary.
- Ensure adherence to the new leads process and update the back-office system accordingly.
- Attach incoming post to the back-office system and amend plans as required.
- Respond to postal queries, such as direct debit failures or review requests.
- Activate the correct threads and tasks in the back-office system using appropriate templates.
- Process letters of authority, sending them to relevant providers and ensuring requested information is collected before checklist completion.
- Accurately and promptly update the back-office system with:
- Plan information
- Client Fact Finds
- Client records
- Attached documents and emails under the correct plan type and subtype.
- Field queries from Paraplanners, Advisers, and clients.
- Manage:
- Changes of address
- Bank detail updates
- Client terminations
- Ensure tax return processes are accurate and fully compliant.
- Handle payment queries.
- Process Trust/Nominated Beneficiary changes and manage post-deceased/terminated client procedures.

Client Reviews Administration
- Prepare and issue:
- Client review documentation
- Reports
- Portfolio summaries
- Meeting packs
- Maintain accurate client records within CRM systems.
- Monitor review schedules to guarantee timely annual/periodic reviews.
- Liaise with:
- Advisers
- Paraplanners
- Clients, to gather required information.
- Obtain policy information from providers.
- Process updates to client details, policies, and investment information.
- Ensure all documentation complies with financial regulations and internal procedures.
- Verify compliance documentation.
- Manage incoming correspondence via:
- Phone calls
- Post
- Track outstanding information and follow up with clients or providers.
- Support general administrative tasks within the financial planning team.
Skills & Experience
- Previously experience in financial services administration or a similar role.
- Knowledge of client review processes in financial planning or wealth management.
- Understanding of investment products, pensions, or financial planning services.
- Strong organisation and time management skills.
- Hyper-detailed attention to accuracy.
- Exceptional communication and client relations skills.
- Ability to multitask and meet tight deadlines.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and CRM systems.
- Awareness of regulatory requirements in financial services.
