Role Title: Client Services Manager
Salary: £35,000 to £40,000 depending on experience

Role Purpose
To oversee the day-to-day delivery of exceptional client services, ensuring that all campaigns are managed effectively, data compliance is maintained, and client relationships are nurtured. This role works closely with internal teams to drive operational efficiency, support account managers, and uphold the high standards of The Hive Linq Ltd.
Key Responsibilities
Client Services & Account Management
- Manage all client processes to ensure a consistently high standard of service.
- Work on designated client campaigns when required to support development and progression.
- Achieve set ratio targets to guarantee clients receive an unparalleled service.
- Collaborate with the Board and senior leadership on strategy to improve productivity, increase revenue, and enhance client satisfaction.
- Deliver work effectively within agreed timeframes for all accounts.
- Establish systematic and consistent service delivery for all charity clients.
- Maximise repeat business opportunities through regular client meetings and proactive communication.
- Attend client meetings individually and with colleagues to position The Hive Linq Ltd as a market leader in professional excellence and innovation.

Data Compliance & Auditing
- Oversee data compliance, ensuring all donor records and data processing meet legal and regulatory standards.
- Develop and maintain knowledge of information and audit requirements relating to donor data.
- Assist in preparing for internal and external audits, ensuring all information is accurate, valid, and compliant with ICO requirements.
- Support continual review of information systems and processes to strengthen internal controls and assurance.
- Maintain full and complete audit evidence for donor records, assisting in collection for auditors.
- Collaborate with the Fundraising Regulator and other stakeholders to ensure best practice.
- Liaise with other agencies to share compliance best practice.
IT Systems & Data Management
- Coordinate the maintenance of IT systems, including those from subcontractors and third-party partners.
- Create and enforce policies for effective data management.
- Formulate techniques for quality data collection to ensure accuracy, adequacy, and legitimacy.
- Devise and implement efficient, secure procedures for data handling and analysis.
- Establish rules and procedures for data sharing with management and external stakeholders.
- Support staff in daily use of data systems, ensuring adherence to legal and company standards.
- Assist with reports and data extraction as needed.
- Monitor and analyse data systems, evaluating performance and identifying enhancements (e.g., new technologies, upgrades).
- Protect digital databases and archives from security breaches and data losses.
- Troubleshoot data-related issues and authorise maintenance or modifications.

Logistics & Budget Oversight
- Oversee logistics and site strategy.
- Manage budgets related to IT systems and logistics.
- Line manage Logistics personnel and Client Services account managers.
Team Development & Collaboration
- Work closely with other Directors and department heads to achieve account management targets.
- Contribute ideas to improve the company’s account management function.
- Ensure all client information is correctly processed for new clients.
- Help manage and develop department heads and team members to reach their full potential.
- Contribute to coaching, training, and the sharing of best practice, ideas, and thought leadership in a collaborative environment.
Key Team Responsibilities
- Organise internal budgets and manage processes that maintain a cohesive, optimised account structure.
- Work with fellow managers and directors to achieve account management objectives.
- Help generate innovative approaches to improve account management and client service delivery.
- Support the onboarding of new clients with accurate data processing.
- Foster a culture of continuous learning and development within the team.
