About the Role
We are seeking a highly organised Client Services & Production Coordinator to manage production schedules and client relationships for major UK theatres and high-profile London West End productions. You will be the administrative heartbeat of our print operations, ensuring every programme is delivered on time and to specification in a fast-paced environment.
Key Responsibilities
- Programme Coordination: Maintain nationwide and West End production schedules 3 months in advance; manage critical dates and complex cast change rotations (e.g., 14-week cycles).
- Production Management: Raise POs, manage supplier schedules, oversee artwork flow, coordinate national deliveries, and handle urgent reprints.
- Client & Venue Liaison: Serve as an important point of contact for UK venue managers, London producers, and commercial clients via phone and email.
- Commercial Support: Gather quotes/estimates and manage production for a wider portfolio of commercial clients.
- Administration: Track monthly sales figures, archive records, and maintain accurate, compliant internal "job bags."

What We Are Looking For
- Experienced Coordinator: Background in client services or account handling with a structured, checklist-driven approach to repeating weekly/monthly tasks.
- Excellent Communicator: Friendly, professional, and confident engaging with internal teams, theatre managers, and West End producers.
- Fast & Agile: Ability to handle a dynamic workload, respond to inquiries within 2 hours, and offer out-of-hours flexibility to support live show demands when needed.
- Tech-Savvy: Highly competent in MS Office (Excel, Word, Outlook) and quick to learn internal systems.
- Relationship Builder: Proven ability to manage expectations and add value to client/supplier relationships. (Full product training provided).
