Role: Division Specialist (Mobile) in Dispute Resolution Division

This role will be the first point of contact to fee earners in the Dispute Resolution Division, acting as a gatekeeper and working as part of a team of Specialists and Coordinators, providing support and assistance across the Division.

This is an exciting role for a good communicator with a high level of interpersonal skills. The ideal candidate will be:

  • A self-starter
  • Highly organised and accurate with excellent attention to detail
  • An efficient worker and team player who is extremely flexible, can prioritise and multi-task, and remain calm under pressure

The Dispute Resolution Division consists of the following teams:

  • Family
  • Trust and Inheritance Disputes
  • Employment
  • Litigation
  • Arbitration
  • Reputational Management
  • White Collar Disputes Investigations

This role sits in the Family and Trusts and Inheritance Disputes teams but may provide support to other teams as required.

This role will be categorised as 'Mobile' in line with the firm’s Mobile Working Policy.

Areas of Focus and Responsibilities

(Note: This list is not exhaustive and does not cover all tasks that may arise in the role)

The role will involve working with multiple stakeholders across the business, providing an experienced level of support to clients and fee earners. Key responsibilities include:

  • Assist fee earners and clients as part of a team of Specialists and Coordinators
  • Create and update documents, including comparisons using Litera software, converting documents (e.g. PDF to Word), and amending correspondence and emails
  • Create and maintain tracker documents and spreadsheets
  • Support the preparation of court bundles and electronic submissions and upload relevant papers as necessary
  • Locate documents through research of e-files and searches in iManage (firm’s document management system)
  • Manage fee-earner inboxes (e.g. during holidays or absences for sickness, part-time working, etc.)
  • Maintain e-files with the Client Services team and provide guidance on file management
  • Provide ad hoc cover and guidance to Client Services Executives where required
  • Process and manage electronic signature requests
  • Diary management
  • Arrange Zoom/Teams or video conference meetings
  • Update and optimise client relationship data in the firm’s InterAction and other systems (ensuring telephone numbers, email addresses and relevant updates are registered, avoiding duplication)
  • Assist the marketing team with data collection, support access to targeted campaigns and events, and update marketing trackers
  • Organise internal events and team meetings for teams and the division

Additionally, the role will involve:

  • Communication support, including answering all calls and taking detailed messages
  • Collaborating with the marketing team, preparing pitches, liaising with the document production centre (DPC), creating and maintaining marketing lists, and assisting with social media (e.g. LinkedIn)
  • Coordinate business development, travel activities, and liaise with other business support teams
  • Adhere to priorities, monitor deadlines, and escheal issues to the Divisional Supervisor if needed
  • Actively support company innovation by adapting to change and enhancing knowledge of specialist topics within the role
  • Maintain awareness of emerging technologies, including AI tools

Skills and Qualifications

To be successful in this role, you must be able to demonstrate:

  • Previous experience in a law firm, with the ability to work independently, be proactive and quickly pick up new roles
  • Excellent verbal and written communication skills
  • Exceptionally collaborative with a teamworking mindset, a healthy attitude, and a willingness to adapt
  • Advanced IT skills, including Leadership/confidence in using both traditional and new instruments and firm technologies
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
  • Professionalism, commercial awareness and a high level of attention to detail
  • A quiet confidence and ability to work under pressure, remaining focused on delivering quality work within tight deadlines
  • Organisation and time management skills, adaptability and critical thinking
  • Optional but advantageous: Knowledge of Family Law and/or Trusts and Estate will be a benefit

  • Working hours: 9:30 AM – 5:30 PM, though flexibility will be essential.
