Client Transitions & Onboarding Administrator

Location: London (Hybrid)
Industry: Asset Management
Employment Type: Full-time
Salary: 55K plus bonus

About the Role

We are seeking an experienced Client Transitions & Onboarding Administrator to join a leading Asset Management organisation. This role is responsible for coordinating the successful onboarding, transition, and offboarding of institutional and intermediary clients, ensuring a smooth and professional client experience throughout the lifecycle.

The successful candidate will work closely with Client Services, Operations, Compliance, Investment Teams, and external stakeholders to manage complex asset transitions, regulatory requirements, and client onboarding activities.

Asset Management industry experience is essential for this position.

Key Responsibilities

Client Onboarding & Transitions

  • Coordinate the onboarding of new clients and accounts.
  • Manage client transitions into investment products and portfolios.
  • Support client offboarding activities, including transfer of assets to new managers.
  • Maintain onboarding and transition trackers, ensuring accurate reporting and governance.
  • Act as a key point of contact throughout the transition process.

Client Service & Stakeholder Management

  • Build strong relationships with clients, custodians, consultants, and internal stakeholders.
  • Respond to client queries in a timely and professional manner.
  • Coordinate meetings and provide regular updates on onboarding and transition progress.
  • Escalate issues and risks as appropriate to ensure successful outcomes.

Compliance & Risk

  • Support AML, KYC, and client due diligence processes.
  • Gather and validate client documentation.
  • Ensure adherence to regulatory requirements including FCA regulations, MiFID, FATCA, and relevant industry standards.
  • Identify and escalate compliance or operational risks.

Operational Coordination

  • Coordinate asset transfers, cash movements, and in-specie transitions.
  • Work closely with Operations to manage transition activities and market deadlines.
  • Support the implementation of investment restrictions and client-specific requirements.
  • Ensure all client agreements and documentation are completed accurately and efficiently.

Skills & Experience Required

Essential

  • Previous experience within the Asset Management, Investment Management, Wealth Management, or Institutional Investment sector.
  • Experience supporting client onboarding, transitions, account opening, or client services functions.
  • Strong understanding of investment management processes and financial products.
  • Working knowledge of AML, KYC, and regulatory requirements.
  • Excellent organisational skills with the ability to manage multiple workstreams simultaneously.
  • Strong communication and stakeholder management skills.
  • High attention to detail and commitment to delivering outstanding client service.
  • Advanced Microsoft Office skills, particularly Excel and Outlook.

Desirable

  • Knowledge of institutional client onboarding and fund transitions.
  • Experience working with charities, pensions, endowments, foundations, or trustee clients.
  • Understanding of FCA regulations, MiFID II, and FATCA requirements.
