Band 4 Clinic Coordinator / Personal Assistant
About the Role
We are seeking an experienced and highly organised Band 4 Clinic Coordinator / Personal Assistant to join our Neurodevelopmental Skill Mix Team within the Community Paediatric Service.
This is a key role providing comprehensive administrative and personal assistant support to clinical leads and clinicians, ensuring the effective coordination of clinics and patient pathways.
You will play a vital role in supporting high-quality patient care through efficient service delivery and strong organisational skills.
Key Responsibilities
- Provide PA / administrative support to Clinical Lead & clinicians
- Coordinate and manage clinics, including:
- Booking appointments
- Allocating rooms
- Managing clinic rotas
- Manage referrals and patient pathways using electronic systems (e.g., SystmOne)
- Oversee clinical correspondence, including clinic letters and reports
- Act as the key point of contact for:
- Clinicians
- Patients
- External agencies
- Ensure smooth running of clinics and patient pathways, monitoring waiting times
- Take and distribute meeting minutes and support service meetings
- Respond to patient queries, concerns, and complaints appropriately
- Support service improvement initiatives and administrative projects
- Supervise and support administrative staff
- Maintain accurate records and ensure timely communication across teams

Role Expectations
The post holder will deliver a comprehensive administrative and PA service, supporting clinicians and ensuring efficient coordination of the neurodevelopmental pathway. This includes:
- Managing patient records, referrals, clinic bookings, and correspondence
- Acting as a key link between:
- Clinical teams
- Administrative colleagues
- External stakeholders
- Ensuring effective communication and timely information sharing
- Supporting service development, audits, and administrative processes
- Supervising staff and contributing to training initiatives
- Maintaining confidentiality and adhering to governance policies
- Supporting high-quality service delivery
