Job Title: Clinical Resources Administrator
Contract: Permanent, Full-time (37.5 hours per week) Monday to Friday Location: Home based within the UK, with occasional attendance to our Northampton office Salary: £23,809.50 per annum
Are you an organised, proactive administrator who enjoys coordinating moving parts and making things run smoothly? We’re looking for a Clinical Resources Administrator to play a key role in delivering our nationwide immunisation services.
In this varied and fast-paced role, you will coordinate vaccination clinics from start to finish. This includes scheduling appointments, preparing clinical resources, and ensuring vaccines and equipment reach the right place at the right time. You will work closely with clinicians, clients, and internal teams, acting as a trusted point of contact and keeping everyone informed throughout the process.
Attention to detail and strong organisational skills are essential, as you will manage multiple schedules, maintain accurate records across our systems, and ensure clinics run efficiently within service level agreements. Your work will directly support clinicians in delivering safe, effective care to clients across the UK.

Main Objectives
- To manage the end to end immunisation process within SLA and provide administrative support to our clinicians and clients.
Specific Responsibilities
- Scheduling appointments via our bespoke electronic system Core.
- Processing Medigold clinic vaccination orders and arranging vaccination deliveries.
- Provide adequate information to clients regarding the vaccination process.
- Input clinic activity charges on Core.
- Liaise with diary co-ordinator and arrange on-site nurse sessions with the client.
- Collate requirements ahead of client site visits and provide the clinician with all the relevant equipment, often up to 2 weeks prior.
- Review and update the Clients recall spreadsheet arranging follow up appointments set out within the vaccination schedule.
- Update the vaccination tracking spreadsheets following clinic appointments.
- Engage with clients via email and telephone answering queries in a timely manner.
- Organise blood results for triage based on the clinical advice and book necessary follow up appointments.
- Review and authorise invoices for finance.
- Upload information onto Core and submit for clinical review.

Requirements for this role
Essential
- Experience of dealing with clients/customers.
- Knowledge of Outlook and composing emails to both clients and internally.
- Experience of confidently working on Microsoft Excel.
- Ability to manage your own workload effectively and withing SLAs.
- Ability to work well under pressure.
- Be able to multitask.
Desirable
- NVQ Level 2 (or equivalent) in Customer Services or Administration.
- Experience in diary management is desirable.
