# Co-Ordinator – London Kensington Kensal Road

Location: London, Kensington Kensal Road

Contract: Full Time, Permanent (42.5 hours per week)

Annual Salary: Up to £32,709.00 per annum + excellent company benefits


About the Role

We are looking to fill an internal progression role as a Co-Ordinator within the Octavia branch of Mears Group. In this position, you’ll play a vital role in delivering efficient scheduling, resource management, and customer-focused repairs across Kensington Kensal Council and surrounding areas.

You will work collaboratively with internal team members for service delivery, ensuring smooth connections between tenants, maintenance workers, and clients. This role involves strong administrative responsibilities alongside operational oversight to maintain exceptional service quality.


Key Responsibilities

Resource & Operational Management

  • Coordinate the scheduling of operative and sub-contractor resources to ensure effective resource management.
  • Deliver a service-driven repair management system with targets actively met.
  • Monitor IT systems to ensure operatives use and update their PDAs and correctly input rate codes into schedules.

Administrative Support

Reporting to the Business Support Manager, you’ll assist with the following:

  • Chasing up pending works completion.
  • Sending letters to tenants notifying them of upcoming repairs.
  • Booking appointments with sub-contractors.
  • Creating quotes and work completion notes.
  • Managing the sub-contractor portal.
  • Running and distributing weekly performance reports to senior management.
  • Ensuring the stationery supply stock is available.

Client & Stakeholder Coordination

  • Collaborate seamlessly with administrators, operatives, supervisors, and sub-contractors to provide a cotructive and responsive service.
  • Oversee approved work plans, tracking job status, staggered timelines, accounts, and reasslations.
  • Monitor routines for follow-up actions, including:
    • Jobs booked within target deadlines.
    • Cancelled works and unkept appointments.
    • Overdue jobs and remaining pending activity.
  • Focus on customer-facing interactions, maintaining a professional attitude with:
    • Tenants, service users, clients and internal/external contacts.
  • Liaise effectively as the key communication point regarding works, sharing clear and timely updates.
