Nursery Receptionist, Finance and Administration Officer (Commercial)
Location: Nursery and Forest School, Stoke Campus
Salary: £24,900 to £27,644 per annum (pro rata for 25 hours per week, permanent, part-time)
Work Hours: Monday to Friday, 12:45 – 18:00

Summary of the Role
This role is a blend of Nursery Administration and Reception duties, with a strong finance and administrative focus. You’ll play a pivotal role in ensuring smooth operations, supporting both parents and internal stakeholders while managing financial and logistical processes.
Core Responsibilities
Reception & Parent Support
- Act as the primary point of contact for parents, visitors, and nursery personnel.
- Handle parent communications, including bookings, queries, and ongoing support.
- Maintain and update booking systems while ensuring the nursery’s occupancy levels remain optimal.
- Represent the nursery professionally at external meetings and events as required.

Finance & Administrative Duties
- Prepare and issue invoices for fee payments and manage associated financial records.
- Collect, reconcile, and process payments from parents, maintaining accurate payment records.
- Prepare and raise purchase orders for institutional requirements (e.g., supply orders, subscriptions).
- Issue payments/gang invoices received from suppliers by receipting and reconciling across finance systems.
Marketing & Promotion Support
- Assist in marketing campaigns, including hosting events and promoting open days.
- Contribute to social media content and promotional materials to attract and maintain nursery engagement.
Operational Support
- Managing internal and external correspondence in a professional and timely manner.
- Enforcing confidentiality regarding nursery policies, procedures, and parent/child data.
Key Requirements
Skills & Qualifications
- Administrative proficiency: Strong organisational skills with experience in booking systems, filing, and correspondence management.
- Finance awareness: Familiarity with invoicing, receipting, Accounts Payable, and payment reconciliation.
- Customer service orientation: Ability to deliver impeccable communication and support to parents and stakeholders.
- Technology skills: Proficient in Microsoft Office (particularly Excel), basic familiarity with HRMS or Qualtrics recommended but not essential.
- PPV experience: Previous experience working at a purpose-built nursery or similar premium childcare environment would be a distinct advantage.
