About The Role
Vortex, a specialist CIPP (Cured-In-Place Pipe) rehabilitation contractor, is seeking an organised and proactive Commercial Administrator to join our growing operations team, supporting projects across the South of the UK.
This is a key support role within the business. Working from our office, you will be responsible for providing administrative and commercial support across projects — including purchase orders, subcontractor documentation, invoicing, and contract records — ensuring accurate and timely processing throughout the project lifecycle.
Working closely with the Commercial, Operations, and Finance teams, you will play a critical role in maintaining accurate commercial records, supporting cost control, and ensuring projects are administered efficiently from order through to final account.

This position is based in our office and involves regular liaison with project managers, suppliers, subcontractors, and clients to ensure commercial processes run smoothly.
Key Responsibilities
- Raise and process purchase orders, ensuring accuracy against project budgets and supplier agreements
- Support the preparation and processing of subcontractor orders, valuations, and payment documentation
- Assist with the preparation of client applications for payment, invoices, and supporting documentation
- Maintain accurate commercial records, contract files, and project cost trackers
- Chase outstanding supplier and subcontractor documentation, including insurances and compliance paperwork
- Support the Commercial team with cost reporting, variations, and change control administration
- Liaise with suppliers and subcontractors regarding orders, deliveries, and account queries
- Assist with reconciliation of supplier invoices against purchase orders and delivery records
- Maintain and update internal databases and systems with accurate commercial and project data
- Provide general administrative support to the Commercial and Operations departments
- Ensure full compliance with company procedures, data handling, and quality standards

Requirements
- Previous experience in a commercial administration, contracts administration, or similar support role, ideally within construction, utilities, or infrastructure
- Strong IT skills, including confident use of Microsoft Excel and accounting or ERP software
- Understanding of purchase order processes, subcontract administration, or invoicing
- Excellent organisational skills with the ability to manage multiple tasks and deadlines simultaneously
- High level of accuracy and strong attention to detail, particularly with financial and contractual documentation
- Ability to work independently and as part of a multidisciplinary team
- Good written and verbal communication skills
- Confident liaising with internal teams, suppliers, subcontractors, and clients
- Experience within the construction, utilities, or drainage sector
