Commercial Administrator
Commercial Administrator – Workington (Hybrid)
Location: Workington, office-based in the main office with occasional hybrid working Hours: Monday to Friday, 8.30am – 5.00pm
About the Role
Our Commercial Administrators are the backbone of our commercial teams, delivering exceptional administrative support to help our Quantity Surveyors focus on client delivery. This is a fast-paced, progressive role where responsibility is trusted, and your contributions will make a real impact.
By bringing strong communication skills and a methodical approach, you’ll handle critical tasks including contract administration, financial processing, and client liaison. Whether managing bids, revisions, or subcontractor payments, your role ensures smooth operations across our projects.

Responsibilities
As a Commercial Administrator, your duties will include but are not limited to:
Contract & Financial Administration
- Support in preparing, processing, and selecting estimates, bids, and tenders
- Assist with contract administration, including:
- Processing subcontractor applications and payments
- Raising sales invoices to meet deadlines using Coins system
- Reverse engineering financial records to ensure transparency
- Maintain Cost Value Reconciliation reports and data sheets

Project & Subcontractor Coordination
- Manage subcontractor invoices, variations, and payments using Coins
- Ensure timely ordering of materials necessary for seamless project execution
- Update client information systems with relevant contract data provided by the Novus Operations Team
Communication & Analysis
- Handle **external and internal communications’, reframe information as necessary for clarity
- Report and record accurate data to track project status
- Professionally deal with queries and communications from subcontractors, clients, and customers
- Ensure all records are input correctly, reports produced on time, and all documentation accurate
Collaboration & Resource Utilisation
- Attend internal stakeholder meetings to align with project plans
- Familiarity with cost systems is beneficial, though systems training will be provided
About You
Ideal candidates will bring:
Key Skills & Attributes
- Highly organised, methodical, and attention to detail – critical for financial and project admin accuracy
- Strong verbal and written communication – to liaise with stakeholders and clients seamlessly
- Proficient in MS Excel (formula-based skills) – a must, given the data-heavy nature of the role
- Confident problem-solving – taking responsibility to resolve bottlenecks and manage deadlines effectively
- Adaptability to in-house systems – you’ll receive training during onboarding, but a willingness to learn is essential
