Commercial Operations Administrator – Sunderland
Job title: Commercial Operations Administrator

Salary: £26,000 - £35,000 (pro rate) DOE
Hours: 34.5 hours per week - Between Monday – Thursday 09:00 – 17:00, Friday 09:00 – 14:00
Location: Sunderland
Working Arrangement: Fully office based. This role does not offer homeworking or hybrid working.

You’ll be spending your carrying out admin tasks as outlined in the job requirements. You’ll work very closely with the Operations Manager who will both be able to offer you valuable skills to help with your chosen career path.
You’ll send a lot of emails and Social Media messages to existing customers, potential clients and members of staff, and we’ll provide you with all of the templates needed to complete these tasks, although we’d love for you to get creative and come up with some suggestions of your own.
These customer interactions you have via messaging will rely on your expertise and guidance on ensuring what we offer is what they need. This isn’t a pressure selling role & everything we do is done on a consultancy basis, all correspondence you have will be via back-office methods and no calling is required.
You’ll already have an idea of the type of business you’re conversing with, which will help you have an idea of the total package the customer would benefit from, this isn’t to say all customers will be willing to proceed. It’s important you stay focused and listen to what they have to say.
You’ll be the expert; your knowledge will wow them and the belief you have in each of our products will help you develop a level of trust that will enable to find a bespoke solution for each business and get the deal closed. B2B experience isn’t a necessity, more a nice to have.

Minimum Requirements (Essential)
This role has minimum entry requirements. Applications that do not meet these essential criteria are unlikely to be considered.
- Minimum 2 years' experience within the UK business energy sector.
- Experience using CRM systems.
- Strong Microsoft Office skills.
- Excellent organisation and attention to detail.
- Strong written and verbal communication skills

Key Responsibilities
- Update and maintain all daily, weekly and monthly sales reports, ensuring figures are accurate and submitted on time.
- Manage the sales pipeline within the CRM, ensuring every opportunity has the correct stage, value, expected close date, owner, notes and next action.
- Review the pipeline regularly and follow up with sales staff where information, documents or customer actions are outstanding.
- Ensure all completed sales are correctly handed over, submitted to suppliers and progressed through to confirmed go-live.
- Track go-live dates, contract start dates, supplier confirmations and any delays, escalating issues where necessary.
- Maintain a complete audit trail for each sale, including contracts, letters of authority, customer correspondence and supplier documentation.
- Produce clear reports showing pipeline performance, completed sales, pending go-lives, cancellations, invoicing and outstanding payments.
- Issue customer invoices accurately and promptly in line with agreed terms and supporting documentation.
- Maintain the sales ledger and record invoice dates, due dates, payments received, balances and agreed payment plans.
- Chase outstanding and overdue invoices professionally by email and telephone, keeping accurate notes of all contact and promised payment dates.
- Escalate aged debt, disputed invoices or repeated non-payment to management promptly.
- Reconcile sales, go-live and invoicing information so that no completed sale or payment is missed.
- Maintain well-organised electronic files, databases and company records.
- Prepare customer and management correspondence, reports, spreadsheets and other business documents.
- Support the operations and management teams with general administration, meeting actions and other reasonable duties as required.
Required skills and experience
- Excellent organisational skills with the ability to manage multiple deadlines and competing priorities.
- High level of attention to detail with the ability to maintain accurate records and documentation.
- Confident using CRM systems, Microsoft Office, spreadsheets, email and other business software.
- Ability to analyse information, identify missing data and follow actions through to completion.
- Strong written and verbal communication skills with a professional and confident telephone manner.
- Confidence in chasing internal actions, suppliers and customer payments in a polite but persistent manner.
- Ability to handle confidential commercial and customer information responsibly.
- Strong problem-solving skills with the ability to identify issues and escalate where appropriate.
- Ability to work independently whilst supporting the wider operations team.
- Commercial awareness with an understanding of the importance of accurate reporting, invoicing and customer service.
- A proactive approach with a strong sense of ownership, accountability and professionalism.

Desirable
- Previous experience in sales administration, finance administration, credit control or contract processing.
- Experience using Go High Level or another CRM system.
- Experience within utilities, telecoms or business services.
- A business administration, finance or customer service qualification.
